Responsibilities
About the Opportunity
- Prepare, revise, format, and finalize legal and business documents including correspondence, pleadings, agreements, contracts, spreadsheets, presentations, reports, and other materials.
- Process document edits using track changes, compare documents, and document management systems.
- Convert documents between multiple file formats while preserving formatting and accuracy.
- Create and maintain templates consistent with firm branding and document standards.
- Perform proofreading and quality control checks for grammar, punctuation, formatting consistency, and completeness.
- Transcribe dictated material and handwritten edits as needed.
- Prioritize and manage multiple work requests while meeting established deadlines and service expectations.
- Communicate proactively with attorneys, timekeepers, and staff regarding work status, deadlines, and clarification of assignments.
- Troubleshoot and resolve basic document formatting, software, and printing issues.
- Maintain confidentiality of client and firm information.
- Troubleshoot basic document formatting and software-related issues.
- Provide excellent customer service and communicate effectively regarding assignment status and deadlines.
- Maintain knowledge of firm procedures, document standards, and software updates.
- Support special projects and additional administrative tasks assigned.

Experience, Education and Training
- High school diploma or equivalent required.
- Associate degree, business training, or legal administrative coursework preferred.
- Word processing, legal administrative, or document production experience preferred.
- Advanced proficiency in Microsoft Office Suite, including Word, PowerPoint, and Outlook.
- Strong knowledge of document formatting with styles, tables of contents, tables of authorities, and legal document preparation.
- Experience with document management systems and PDF editing software preferred.
- Law firm or professional services experience strongly preferred.
