Position Summary

The Service Coordinator plays a critical role in ensuring the efficient scheduling and coordination of service appointments, timely technician dispatch, and exceptional customer service. This position serves as the central communication hub between customers, technicians, and internal teams to support smooth daily service operations.

Essential Responsibilities

    • Schedule service appointments based on customer needs and technician availability, optimizing routes for efficiency
    • Serve as the primary point of contact for customers, providing clear and professional communication regarding appointments, technician arrivals, and service updates
    • Dispatch service technicians with accurate job details and necessary information to complete assignments effectively
    • Allocate labor, equipment, and materials to meet service demands and minimize downtime
    • Receive and log incoming service requests, prioritize urgent issues, and coordinate prompt response
    • Maintain accurate records of service calls, technician schedules, and customer communications
    • Demonstrate a basic understanding of HVAC systems to assist with troubleshooting and proper technician assignment
    • Coordinate emergency HVAC service calls and manage rapid response communication
    • Collaborate with equipment suppliers and contractors to ensure availability of required parts and materials
Qualifications & Requirements

    • High school diploma or GED required
    • Valid driver’s license preferred; reliable transportation required
    • Minimum of 5 years of service coordination or dispatch experience, preferably in the HVAC industry
    • Strong organizational and multitasking skills
    • Excellent verbal and written communication skills
    • Proficiency with service management software and scheduling tools
    • Ability to work effectively in a fast-paced, high-pressure environment
    • Strong attention to detail and problem-solving abilities
    • Customer-focused mindset with a commitment to delivering exceptional service
    • Flexibility to work on-call or shift schedules as needed
Physical Demands & Work Environment

This position is primarily office-based and requires prolonged periods of sitting, computer use, and phone communication. Occasional visits to the warehouse may be required to manage air filter inventory for technicians. Warehouse activities may involve standing, walking, bending, and lifting items up to approximately 25 pounds. The warehouse environment may include exposure to noise, dust, and standard material-handling conditions. Appropriate safety practices must be followed at all times.
