What You'll Be Doing

Wake County's Public Health team is currently seeking a dynamic Executive Assistant with administrative support of senior leadership and customer service experience in a Public Health or Human Services setting that is ready to take their career to the next level!

As the Executive Assistant you will have an opportunity to work and report directly to the Wake County Public Health Director. You will also support other members of the Executive Leadership team and manage department wide projects. In your new role your work will be confidential and sensitive in nature, ranging from general office support assignments to administrative duties requiring decision-making, judgement and tact.

The Executive Assistant Maximizes Effectiveness By Accomplishing These Functions

  • Create and maintain an organized filing system for electronic and hard copy documents and a ssist with managing and gathering documentation for accreditation and other required activities
  • Assist the Public Health Director with problem-solving issues related to administrative, policy/procedure clarifications, vendor selection, technology solutions, and others as assigned. Maintain office supply inventory
  • Coordinate and maintain calendar invitations and logistics for all Public Health leadership meetings, attend meetings and take minutes as needed
  • Assure Public Health leadership team follow-through on urgent requests, upcoming deadlines, prepared for upcoming meetings, prompt to meetings
  • Manage and monitor Public Health Director and other leadership team member's calendar - deconflict meeting times, ensuring information needed to attend meetings is prepared and disseminated
  • Assure meeting materials are included in calendar items (agendas, email communications, web links, contact information, directions, etc.)
  • Serves as Public Health Director liaison to internal and external partners
  • Coordinate with other administrative staff assigned to Public Health
  • Greet guests and customers, answer questions, appropriately direct inquiries
  • Plans and organized logistics for meetings and events
  • Serve as Human Resources liaison working closely with HR Business Partner
  • Research and analyze data to develop reports. Compiles information from various spreadsheets, information requests and special projects. Manages and tracks information flow. Follows up with information that requires signature, answers, responses and written replies to ensure proper and timely action

Required

The Basics (Required Education and Experience)

  • High school diploma or GED
  • Four years of administrative/office support experience
  • Equivalent education and experience are accepted

Beyond the Basics (Preferred Education and Experience)

  • Strong preference: Administrative support and customer service experience in a Public Health or Human Services or related environment
  • Strong preference: Four years or more administrative support and customer service experience (office management experience a plus)
  • Bachelors in Business Administration or related degree
  • Proficiency with Microsoft Outlook
  • Five years or more for supporting an Executive level type position
  • Proven record of competence in time management, planning and problem solving
  • Proficiency with Microsoft Office Suite (skills will be evaluated upon interview)

  • Knowledge of proper spelling, grammar, punctuation, and sentence structure to ensure that written materials are prepared and reviewed are complete, concise, and error-free
  • Ability to analyze written information to determine importance of correspondence
  • Ability to use software programs in support of supervisor’s report, presentations, and other types of communication
  • Ability to maintain confidentiality and exercise discretion in handling information and materials
  • Ability to be flexible in adapting to changes in priorities, assignments, and other interruptions which may impact pre-established timelines for completing assignments
  • Ability to utilize office equipment and other relevant technology (software and systems) to meet business needs (e.g. Microsoft Office, internet)

Hiring Range: 25.43-29.08

Market Range: 25.43 - 32.74

Emergency Service Worker Statement
