We're looking for a Community Engagement Administrative Assistant to help ensure our foundation grants and corporate contributions are processed efficiently, accurately, and with outstanding service.
In this role, you'll support the day-to-day operations of our Community Engagement team by coordinating grant workflows, maintaining accurate records, assisting with reporting, and providing exceptional support to both internal stakeholders and nonprofit partners. What You'll Do
Coordinate Grant & Corporate Contribution Processes
- Manage foundation grant and corporate contribution requests through established review, approval, and payment workflows.
- Track grant applications and sponsorship requests from submission through completion.
- Process grant and contribution payments while ensuring accuracy and compliance.
- Prepare routine correspondence, including decline letters and standard communications.
- Maintain accurate grant, nonprofit partner, and contact records using internal systems.
- Monitor workflow to ensure timely processing and approvals.
Deliver Outstanding Customer Support
- Respond professionally to routine inquiries from internal teams and nonprofit applicants.
- Assist applicants with submission status, payment inquiries, and basic system questions.
- Escalate complex or policy-related issues to the appropriate team members.
- Maintain confidentiality while delivering exceptional customer service.
Maintain Data Quality
- Review and update grant, organization, and contact records for accuracy.
- Identify duplicate, incomplete, or inconsistent data.
- Support database cleanup and ongoing system maintenance initiatives.
Reporting & Administrative Support
- Prepare and distribute recurring reports using established templates.
- Export and organize grant and contribution data for internal stakeholders.
- Maintain files, templates, and documentation.
- Provide administrative support for meetings, communications, and special projects.
What We're Looking For
Required Qualifications
- High school diploma or equivalent.
- Minimum 3 years of experience in administrative support, customer service, data entry, grants administration, nonprofit operations, corporate philanthropy, or a related field.
- Strong proficiency in Microsoft Office, including Excel, Outlook, Word, and Teams.
- Excellent organizational skills with the ability to manage multiple priorities and meet deadlines.
- Strong attention to detail and commitment to maintaining accurate records.
- Professional written and verbal communication skills.
- Ability to learn new software, CRM platforms, grant management systems, and payment processing tools.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration, Nonprofit Management, Communications, Public Affairs, or a related field.
- Experience with grant management or CRM systems such as Blackbaud Grantmaking, Foundation Source, PeopleSoft, or similar platforms.
