Position Summary
The Accounting & Operations Manager is responsible for overseeing all financial, accounting, and operational functions of the business. This role ensures accurate financial reporting, regulatory compliance, efficient operations, and provides strategic support to ownership.
Key Responsibilities
Accounting & Financial Management
- Maintain GAAP-compliant accounting practices and a structured Chart of Accounts
- Manage full-cycle accounting including accounts payable, accounts receivable, payroll, and bank reconciliations
- Produce accurate, reconciled monthly financial statements
- Maintain work-in-progress accounting and ensure accurate job costing across projects
- Monitor daily cash flow and maintain accurate bank balances
- Prepare weekly financial reports and analyses for ownership
- Track notes payable including principal and interest
- Evaluate quarterly tax liabilities and coordinate with CPA on filings and year-end close
- Post journal entries and maintain general ledger accuracy
- Process weekly payroll and associated tax payments
- Maintain employee records including W-2, W-4, and I-9 documentation
- Prepare and distribute annual W-2s
- Manage subcontractor compliance including 1099s, W-9s, and insurance verification
- Oversee workers compensation reporting, payments, and audits
- Ensure compliance with all insurance requirements including workers compensation, general liability, auto, and equipment
- Support purchasing, cost control, and vendor management
- Oversee customer invoicing, collections, and aging reports
- Maintain job setup, cost tracking, and reporting within accounting systems
- Manage permitting processes and coordinate with local agencies
- Maintain relationships with banks, lenders, vendors, and customers
- Prepare loan applications, credit documents, and financial reports
- Maintain Sage 100 system integrity and ensure accurate data entry
- Develop and improve workflows, procedures, and internal controls
- Generate custom financial reports and provide insights to ownership
- Maintain organized digital and physical filing systems
- Provide direct support to ownership including calendar management and special projects
- Assist with lead tracking, communications, and office coordination
- Support marketing and business development initiatives as needed
- Strong experience in full-cycle accounting and financial management
- Experience within construction or project-based environments preferred
- Knowledge of job costing and work-in-progress accounting
- Proficiency with accounting systems, preferably Sage 100
- Strong understanding of GAAP principles
- Experience with payroll processing and compliance requirements
- Highly organized with strong attention to detail
- Ability to operate independently and manage multiple priorities
- Strong communication and problem-solving skills
