Role DescriptionWe are seeking an Office Operations Manager who will manage day-to-day administrative and human resources functions to ensure smooth and efficient office operations. The ideal candidate will combine a strong background in office administration and HR management with exceptional organizational, communication, and leadership skills. Prior law firm administration experience is required. Being a self-starter with keen attention to detail is essential for this role. This is a Chicago-based hybrid position.Key ResponsibilitiesRecruiting & Onboarding: Manage job postings, initial resume screening, coordinate interviews, communicate with candidates, and manage onboarding/offboarding of employees.Compensation & Benefits: Work with leadership and external providers to manage monthly payroll, benefits, and annual enrollment.Compliance: Maintain compliance with employment laws, firm policies, and regulatory requirements (EEO, FMLA, ADA, etc.).HR Systems: Maintain personnel records and ensure secure management of employee data.Financial & Office Management: Manage office budgets, expense tracking, and vendor contracts and payments in coordination with the COO.Client Onboarding: Coordinate all aspects of new client setup, including conflict checks, engagement letter preparation, and entry into firm systems; liaise between attorneys and billing team to manage the onboarding process.Administrative Support: Provide administrative support to the COO and legal leadership team.QualificationsBachelor's degree preferred; background in HR or business administration is desirable.5-8 years of law firm experience, including familiarity with HR responsibilities.Strong understanding of employment requirements, payroll, and benefits administration.Experience with HRIS and practice management software (e.g., Intuit QuickBooks and ADP).Exceptional organizational skills, discretion, and attention to detail.Strong interpersonal and leadership abilities; comfortable working with senior attorneys and managing staff.Proficiency with Microsoft Office 365, Teams, Zoom, and other collaboration tools.PHR/SPHR or SHRM-CP/SHRM-SCP certification is a plus.Must be based in Chicago; hybrid role with up to two days per week in person.Compensation & BenefitsFull benefits package including medical, dental, vision, life, and disability coverage (effective one month after hire).Eligibility for 401(k) plan after 12-18 months of employment.11 paid holidays and unlimited PTO.
