The Payroll Specialist is responsible for supporting accurate and timely payroll processing, maintaining employee records, assisting with HR administrative functions, and ensuring compliance with company policies and applicable employment laws. This position requires strong attention to detail, confidentiality, organization, and the ability to support employees and leadership in a professional manner.
Essential Duties and Responsibilities
- Process and maintain payroll-related information accurately and timely.
- Review timekeeping records, PTO entries, attendance data, and payroll adjustments for accuracy.
- Assist employees and leadership with payroll, PTO, attendance, and timekeeping questions.
- Maintain accurate and up-to-date employee records in HRIS, payroll, and timekeeping systems.
- Assist with onboarding new hires, including paperwork, orientation support, and system entry.
- Support benefits administration, including health insurance, retirement plans, paid time off, and employee inquiries.
- Prepare payroll, attendance, PTO, and HR-related reports as needed.
- Assist with employee relations matters by documenting concerns and escalating issues appropriately.
- Provide guidance to employees on company policies, procedures, and payroll-related processes.
- Support compliance with applicable employment laws, payroll requirements, and company policies.
- Assist with recruitment activities, including scheduling interviews, screening applications, and candidate communication, as needed.
- Assist with employee events, engagement activities, and HR projects.
- Maintain confidentiality of employee information and sensitive payroll records.
- Demonstrate cost consciousness and understand how payroll accuracy, attendance, and labor costs affect business results.
- Support department budget activities and cost control efforts as assigned.
- Perform other duties as assigned.
Qualifications
- Degree in Human Resources, Business Administration, Accounting, Finance, or related field preferred.
- 1–3 years of experience in payroll, HR administration, or a related role preferred.
- Experience with timekeeping, payroll, HRIS, or employee recordkeeping systems preferred.
- Strong organizational and time management skills.
- High attention to detail and accuracy.
- Ability to prioritize tasks and meet deadlines.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to maintain confidentiality and handle sensitive employee information professionally.
Software Proficiency
- Microsoft Excel, including basic formulas.
- Microsoft Word.
- Microsoft PowerPoint.
- HRIS (ADP), payroll, or timekeeping system experience preferred.
Working Conditions
This position may require regular walking and frequent standing, reaching, or kneeling. The employee may occasionally lift and/or move objects weighing up to 20 pounds. The role requires the ability to work in an office and manufacturing environment and interact with employees across multiple shifts as needed.
Pay: $44,000.00 - $50,000.00 per year
