Job Summary
The Birth to 3 Data Specialist is primarily responsible for maintaining accurate, ongoing data for all children enrolled in the Early Intervention Program and managing administrative processes related to transitions and discharges from the program. These responsibilities are critical to supporting compliance with federal timelines and program standards.
Essential Functions
- Ensure program integrity by accurately entering intake and enrollment information into all required data systems (Program Participation System, The Clinical Manager, Luna, and Salesforce).
- Maintain comprehensive and up-to-date records by entering ongoing updates, including family and support team details, IFSP reviews, and service changes across all required systems.
- Safeguard compliance and smooth transitions by preparing and sending LEA notifications and referrals to school districts within state timelines and documenting all actions in required systems.
- Protect program quality by monitoring transition timelines and performing quality assurance checks to prevent missed referrals.
- Support continuity of care by completing discharge processes accurately in all data systems for children exiting the program.
- Facilitate timely workflows by routing communication forms to ensure enrollment and discharge processes occur without delay.
- Promote accountability and compliance through participation in file reviews and quality assurance initiatives.
- Ensure secure and efficient information flow by coordinating incoming and outgoing record requests promptly and accurately.
Other Responsibilities
- Follow practices consistent with Wisconsin DHS 90 and IDEA Part C regulations.
- Engage in professional development as appropriate and attend required staff and team meetings.
- Participate in reflective supervision, accept feedback professionally, and take responsibility for performance.
- Maintain confidentiality and comply with HIPPA regulations.
Physical Demands
Work performed is generally within the sedentary range as defined by the United States Department of Labor.
Job Qualifications
- High school diploma or equivalent required; administrative support experience preferred.
- Proficiency in data entry and database management with strong attention to detail.
- Excellent organizational and time management skills to meet strict compliance timelines.
- Strong communication skills and ability to work collaboratively within a team environment.
- Experience with systems such as Salesforce, The Clinical Manager, or similar platforms preferred.
- Knowledge of Birth to Three (Part C) regulations preferred.
