Position Summary
We are seeking an organized, reliable, and proactive Scheduler to help coordinate daily operations at our office. This role plays a key part in supporting client care continuity by efficiently scheduling and coordinating caregivers, managing communications, and assisting with administrative and HR tasks to keep our agency running smoothly.

Responsibilities:
- Coordinate and maintain daily, weekly, and monthly schedules for caregivers and clients.
- Communicate schedule changes promptly to staff, clients, and families
- Match caregivers to client needs based on skill, availability, and location
- Maintain accurate documentation of client and staff schedules in the system
- Answer phone calls, messages, and emails in a timely and professional manner
- Support the management team with staff coordination and documentation
- Assist with new hire onboarding and payroll reporting
- Maintain organized client files and ensure all forms and care plans are up to date
- Prepare reports, correspondences, and assist with billing-related data entry
- Monitor client visits and follow up on missed shifts or schedule gaps
- Help manage office inventory and supply orders
- Uphold strict confidentiality and HIPAA compliance
- Ability to utilize EVV platform and CRM for the agency
- Staff caregivers based on experience and client needs.
- Conduct on-boarding and monitor caregiver performance.
- Handle re-routing, re-staffing, and updating client/employee details.
- Be on-call every second week for after-hours support.
- Direct support to Families & Clients.
- Direct professional contact with Case Managers & Nursing teams.
Requirements:
- Experience in home care, healthcare office, or scheduling and coordinating care is REQUIRED
- Proficiency with scheduling software, Microsoft Office, or Google Workspace software like (Axis Care) Preferred.
- Bilingual is a plus.
- Inputting numerical codes in schedule properly.
- Strong communication, problem-solving, and organizational skills.
- Ability to work independently and as part of a team.
- Experience in non-medical in-home care is preferred.
- Excellent Customer service.
- Knowledge of H.I.P.A.A regulations and commitment to maintaining patient confidentiality.
- Excellent documentation skills.
- C.N.A Skills is a plus.
