What are the responsibilities and job description for the Administrative Assistant position at Vision Vintage?
Some people are good at keeping track of the details that everyone else is too busy to think about. They know what needs following up, where a document has been saved, which meeting has moved and what needs to be sorted before the end of the day.
We’re looking for an Administrative Assistant to join our team full-time. It’s a practical office-based role supporting the wider team and helping make sure the everyday admin doesn’t pile up.
The Basics
- Location: Dayton, OH
- Schedule: Monday to Friday
- Hours: 8:30am–5:00pm
- Position: Full-time, on-site
- Weekends: No regular weekend work
A Typical Day
There’s a good mix of routine work and things that come up during the day. You’ll usually have your own tasks to work through while also helping colleagues when they need administrative support.
Your day could include:
- Managing emails and general correspondence
- Updating spreadsheets, records and internal databases
- Preparing documents, forms and basic reports
- Scheduling meetings and keeping calendars up to date
- Filing and organising digital and paper records
- Processing incoming paperwork and checking information is accurate
- Ordering stationery and keeping track of office supplies
- Answering occasional incoming calls
- Helping prepare information for meetings
- Supporting different departments with general administrative tasks
We’re not looking for someone who knows everything from day one. What matters more is that you’re reliable, comfortable working independently and able to keep track of several small tasks without things getting missed.
Who We’re Looking For
You’ll probably suit this role if you like being organised and prefer a working day where there’s always something useful to get on with.
You should be comfortable using email, Microsoft Word and Excel and general office systems. You’ll also need to communicate clearly, whether you’re replying to an email, speaking with a colleague or following up on information.
Previous experience as an Administrative Assistant, Office Assistant, Admin Assistant or Receptionist would be useful, but we’re also open to candidates with transferable customer service or office experience.

- Medical, dental and vision insurance
- 401(k) with company match
