Position Summary
We are currently seeking a full-time Customer Service Representative for our Suffolk location. This individual will be the first point of contact for our patients and play a key role in creating a welcoming, efficient, and supportive environment. The ideal candidate is personable, professional, detail-oriented, and thrives in a fast-paced, patient-focused medical office.
Key Responsibilities
- Greet patients and visitors with warmth and professionalism, both in person and on the phone
- Answer and direct calls using a multi-line phone system
- Schedule, confirm, and coordinate patient appointments, including consultations, pre-op, and post-op visits
- Perform patient check-in and check-out, including collection of co-pays and outstanding balances
- Verify insurance information and assist with basic billing questions
- Maintain accurate and up-to-date patient records in compliance with HIPAA regulations
- Coordinate with clinical staff to ensure smooth daily operations and patient flow
- Provide non-clinical information regarding procedures, services, and office policies
- Perform general administrative tasks including filing, data entry, and supply inventory
- Keep the front office area clean, organized, and welcoming at all times
Qualifications
- High school diploma or equivalent required
- 1–2 years of experience in a front office, reception, or customer service role (medical or aesthetic field preferred)
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Comfortable handling sensitive patient information with discretion
- Proficient in Microsoft Office Suite; experience with electronic medical records (EMR) systems preferred
- Positive attitude, strong work ethic, and professional appearance
- Ability to multitask and work effectively both independently and as part of a team

Location:
This position is based at our Suffolk office. While we also operate a Suffolk location, this role is specific to Virginia Beach and candidates must have reliable transportation to this location.
