JOB REQUIREMENTS: Job Summary: The Public Health Department
Administrative Assistant II performs a variety of clerical, financial,
and administrative duties to support the operations of the Vilas County
Public Health Department. All duties and responsibilities are performed
under and subject to the direction of the Public Health Director.
Essential Duties: 1. Greets individuals and efficiently directs them to
appropriate Health Department staff. 2. Acts as community resource and
referral agent for public health issues. 3. Prepares and sends outgoing
mail including registered and certified letters. 4. Inventories and
orders all office supplies and department brochures. 5. Organizes and
maintains office records system. 6. Prepares agendas and records minutes
at monthly Board of Health meeting. 7. Assists with data collection for
the department\'s annual report. 8. Maintains the confidentiality of
client information as required by State and Federal laws and regulations
and professional practice standards. 9. Attends department activities
and training as requested or required. 10. Prepares vouchers and charges
and records grant and department expenses monthly. 11. Prepares monthly
GEARS reports for State. 12. Prepares appropriate journal entries as
needed. 13. Assists with annual preparation and reconciliation of
department budget and grants. 14. Deposits and records all payments for
services. 15. Prepares billings as required, such as billing Medicaid,
Medicare, and other insurances. 16. Ensures receipt of payment, such as
payments from Medicaid, Medicare, and other insurances. 17. Prepares and
maintains department reports and databases as required and in a timely
fashion. 18. Attends all required Incident Command System and National
Incident Management Systems Training as directed by Public Health
Director. 19. Participates in Emergency Operation Center when activated.

years\' experience working in an office setting and understanding of
governmental accounting is required. Knowledge of the rules,
regulations, policies, and program procedures of the Public Health
Department, including the WIC Program. Expertise in working with the
governmental accounting system. Must be proficient in computer skills
that include: Microsoft Word, Excel, and Outlook. Office website
development and maintenance. Ability to learn and become proficient
using various Public Health and private databases and software programs,
such as Healthspace, ROSIE, electronic medical records, and WIR. Ability
to communicate effectively with County employees, other officials, and
all members of the public. Respect the diversity of the population
served by WIC and have the ability to work effectively with a low
income, multi-cultural population. Must be able to meet deadlines, work
accurately and efficiently, and work cooperatively with difficult
people. Ability to perform job duties accurately and effectively without
constant supervision or specific assignment. Ability to compile,
analyze, record and assemble data and information in a meaningful and
effective manner. Ability to devise methods and procedures for handling
unusual or complex situations and assignments. Must be proficient in,
and display: organization, prioritization, written and interpersonal
communication, moderately difficult math skills, and knowledge and use
