Job Title: Accounting Specialist

Location: Brentwood, NY

Duration: Permanent, Direct Hire

Salary Range: $45-50,000 (negotiable based on experience)

Summary:

The Accounting Specialist plays a key role in supporting the organization’s financial operations by managing the full accounts receivable cycle. This position is responsible for processing incoming payments, maintaining accurate financial records, ensuring timely collection of outstanding balances, and providing exceptional customer service. The ideal candidate is detail-oriented, organized, and comfortable communicating with clients to resolve billing issues and ensure account accuracy.

Responsibilities:

• Monitor customer accounts and identify overdue balances.

• Conduct timely follow-up via phone, email, and written communication.

• Negotiate payment arrangements and document all collection activities.

• Accurately receive, record, and apply payments including checks, ACH, and wire transfers.

• Reconcile customer accounts and research discrepancies to ensure data integrity.

• Maintain up-to-date AR ledgers and aging reports.

• Assist with month-end closing tasks and prepare supporting documentation.

• Respond promptly to customer questions regarding invoices, statements, and payment status.

• Resolve billing disputes professionally and escalate complex issues when necessary.

Qualifications:

• High school diploma or equivalent required; Associate’s Degree in Accounting, Finance, or related field preferred.

• 1-3 years of experience in accounts receivable, billing, or general accounting.

• Strong understanding of basic accounting principles.

• Proficiency with accounting software (QuickBooks, NetSuite, Sage, or similar) and Microsoft Excel.

• Excellent attention to detail and organizational skills.

• Strong communication and problem-solving abilities.

• Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
