What are the responsibilities and job description for the Real Estate Sales Coordinator position at Valor Real Estate Development?
ONSITE ON LOCATION ONLY - IN OFFICE 9 - 6
Valor Real Estate Development is a boutique luxury developer creating community-transforming real estate icons in emerging cities. Our projects are distinguished by partnerships with some of the world’s most respected luxury brands and designers such as Aston Martin and Roche Bobois. We believe exceptional living is created through exceptional collaboration, and we seek those who can help bring that vision to life.
We are transitioning to a best-in-class external brokerage model, meaning our projects will be sold by top-tier agents from SERHANT, but the client experience, deal structure, and execution remain fully ours.
We are looking for a Sales Coordinator who acts as the operational backbone of the sales function. You must be a highly organized, detail-driven professional who ensures every deal moves forward, every client is taken care of, and every broker has what they need to perform at the highest level.
This is not a sales role. This is the engine behind sales.
Core Responsibilities
A. Transaction Coordination
Manage the full lifecycle of purchase agreements from initial contract through closing
Review, organize, and enter contracts, addendums, and settlement statements into CRM
Prepare closing packages and coordinate all closing logistics
Work directly with title companies, lenders, and legal teams to ensure timely execution
Track deal progression, identify risks, and ensure no delays or missed steps
B. Brokerage & Deal Flow Coordination
Serve as the primary liaison between Valor and external brokerage teams
Ensure agents have accurate inventory, pricing, and up to date marketing materials
Support brokers through contract execution, issue resolution, and closing preparation
Coordinate commissions, verify payouts, and ensure proper documentation
Maintain alignment between developer objectives and brokerage execution
C. CRM, Reporting & Pipeline Management
Maintain a clean, accurate CRM containing prospects, buyers, deal stages, and communications
Track KPIs, sales velocity, pipeline status, and closing timelines
Generate reports for leadership on deal flow and performance
Manage lead intake and ensure proper routing to brokerage teams
D. Client Experience & Communication
Act as a consistent point of contact for buyers throughout the transaction process
Ensure clients are informed, supported, and experiencing a seamless journey
Coordinate timelines between buyer, broker, construction, and internal teams
Assist with buyer questions, documentation, and process navigation
E. Internal Coordination & Execution
Work closely with construction to track unit readiness and closing schedules
Maintain availability reports and ensure all channels reflect accurate inventory
Track upgrades, selections, and change orders throughout the sales process
Coordinate with marketing on listings, launches, and sales materials
Proactively solve issues that could delay or impact a deal
What We’re Looking For
• 2 years of experience in real estate transactions, sales coordination, title, or similar
• Strong understanding of contracts, closings, and deal flow
• Highly organized with the ability to manage multiple active deals simultaneously
• Excellent communication skills across clients, brokers, and internal teams
• Comfortable working in a fast-paced, deadline-driven environment
• Proficient in CRM systems like HUBSPOT, MRI, and Microsoft Office (or similar tools)
• Licensed real estate agent is a plus, but not required
Ideal Traits
• Ownership mentality — you take responsibility for outcomes, not tasks
• Detail-oriented — nothing slips through the cracks
• Calm under pressure — you handle deadlines, closings, and moving targets
• Solutions-driven — you solve problems instead of escalating them
• Relationship-minded — you build trust with clients and brokers
• Versatile — able to operate across admin, coordination, and client-facing work
