This dual role requires a warm, welcoming personality for our families and a detail-oriented mind for dental billing. You will balance front-desk hospitality with backend financial administration.
Key Responsibilities
Patient Reception & Front Desk
- Welcome families with a warm, child-friendly attitude.
- Check-in patients and verify pertinent information.
- Schedule appointments to maximize daily clinic efficiency.
- Manage phone lines by answering inquiries and routing calls.
- Maintain the reception area to ensure it is clean and safe
Insurance & Claim Management
- Verify patient benefits: Break down insurance coverage, eligibility, and maximums prior to appointments.
- Process daily claims: Prepare, review, and electronically submit dental claims with proper CDT coding.
- Manage attachments: Gather and submit necessary X-rays, clinical notes, and narratives alongside claims.
- Handle pre-authorizations: Process pre-authorization requests for specialized pediatric dental treatments.
Accounts Receivable & Denial Resolution
- Post incoming payments: Accurately post insurance checks, EFT payments, and patient copays to accounts.
- Monitor aging reports: Track outstanding claims and aggressively follow up on past-due insurance balances.
- Resolve claim denials: Appeal denied claims, research billing discrepancies, and resubmit corrected claims promptly.
- Manage patient collections: Generate patient billing statements and follow up on outstanding personal balances.
Family & Financial Communication
- Present treatment estimates: Explain treatment plans, coverage limits, copays, and out-of-pocket costs to parents.
- Coordinate payment options: Set up flexible payment plans and address ongoing patient billing questions.
Qualifications & Skills
- Experience: Minimum 1–2 years in dental front office or billing operations.
- Specialization: Prior experience in a pediatric dental setting is highly preferred.
- Software: Proficiency with dental practice management software
- Knowledge: Familiarity with dental codes (CDT codes) and insurance terminology
- Communication: Strong verbal and written skills tailored for both children and families
- Attributes: Exceptional multitasking abilities, organization, and a high level of empathy.
