Our agency is partnering with a well-established company in the entertainment industry to hire a Recruiting Coordinator to support their growing Talent Acquisition team. This role is heavily administrative and coordination-focused, ideal for someone who thrives in detail-oriented, process-driven environments and enjoys supporting onboarding and candidate logistics.
This opportunity begins as a temporary assignment with strong potential for conversion based on performance and business needs.
Position Overview:
The Recruiting Coordinator will play a critical role in supporting recruitment operations, interview logistics, onboarding coordination, and candidate communication. This is a high-volume environment where organization, follow-through, and professionalism are key.
The ideal candidate enjoys being behind the scenes, ensuring processes run smoothly, documentation is accurate, and new hires feel supported throughout onboarding.
Key Responsibilities:
Interview & Scheduling Coordination
- Coordinate and schedule high volumes of phone, virtual, and onsite interviews
- Manage complex calendars across recruiters and hiring managers
- Send interview confirmations, prep materials, and follow-up communications
Administrative & ATS Support
- Maintain accurate candidate records in Workday (or similar ATS)
- Track interview stages and update candidate statuses
- Post job openings and support the administrative aspects of full-cycle recruiting
Onboarding & Pre-Employment Support
- Coordinate background checks and reference checks
- Assist with new hire paperwork and onboarding documentation
- Ensure smooth handoff from offer acceptance through start date
- Partner with HR to ensure compliance documentation is completed
Reporting & Process Support
- Create and update recruiting reports using Excel
- Develop presentations and recruiting updates in PowerPoint
- Support process improvements and documentation tracking
Candidate Experience
- Serve as a primary point of contact for candidates throughout the interview process
- Ensure timely communication and a professional, organized experience
Qualifications:
- 2 years of experience in a Recruiting Coordinator or administrative talent support role, no full-cycle recruiting experience
- Strong administrative and onboarding coordination experience
- Workday or similar ATS experience strongly preferred
- Proficiency in Excel and PowerPoint
- Excellent organizational skills and ability to manage competing priorities
- Strong written and verbal communication skills
- Detail-oriented with strong follow-through
