Purpose To provide essential front office support, hands-on experience in event coordination, serving as a first point of contact for visitors and assisting with the smooth daily operation of the department. Working closely with the CAEE staff, faculty, and students. Responsibilities Event support Assist with event day set-up/tear-down and execution (i.e., catering, registration, signage, and safety requirements) at events. Create administrative documents such as registration lists, name tags, floorplan layouts, etc. Front Office & Administrative Support First point of contact for visitors and assisting with the smooth daily operation of the department. Responsibilities include collecting and distributing mail, maintaining the coffee station, restocking supplies, keeping shared spaces organized, and ensuring bulletin boards are up to date. Data Analysis & Process Improvement Assist in tracking departmental project progress and metrics using tools such as Asana, Qualtrics, and Excel. Your duties are likely to evolve as you gain experience within the department. This is a long-term opportunity that will lead into future semesters (depending on performance). Required Qualifications Must be a current student at the University of Texas at Austin. Student must be in good academic standing and maintain a 3.0 GPA. Work study award Current Sophomore or Junior Level preferred Creative thinker, able to help brainstorm fun event themes, activities, prizes, etc. Proficiency with (or ability to quickly learn) basic computer programs such as Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint), Google applications (Drive, Forms, Sheets), UT Box, RSVP management software (like CVENT, Asana, Qualtrics). Professionalism and good communication skills Preferred Qualifications Previous experience with event planning, front desk administration, catering coordination, food handling or customer service Productive self-starter, resourceful, able to multitask, able to think on their feet and be customer service oriented.
