Job Description
As the Front Office Coordinator at you will be a vital leader in our clinic, responsible for overseeing the front office operations and leading a team of dedicated staff members. Your role will extend beyond administrative tasks as you advocate for patients, manage staff, and collaborate with Clinic Directors to ensure a seamless patient experience. What You Will Do:
- Lead and mentor a team of front office staff, setting a high standard of professionalism and customer service, ensuring warm and efficient patient interactions
- Serve as a key point of contact to resolve patient and staff complaints, account/billing questions
- Hire, train, evaluate front office staff
- Collaborate closely with Clinic Directors to align operations with corporate and clinic objectives
- Partner with Managers and Directors to conduct regular staff meetings, events, provide guidance and support for professional development
- Oversee training and onboarding of new team members, ensuring they meet required competencies
- Coordinate front office business processes and patient care
- Utilize UPT Practice Management software (WebPT and Kareo) and other tools as needed to facilitate efficient operations
- Oversee scheduling accuracy and optimal clinic flow/delivery while maintaining patient privacy and HIPAA compliance in all interactions and documentation
- Ensure accurate billing and timely filing per industry standards, conduct insurance benefit verifications, coordinate with third-party payers, and obtain authorizations
- Monitor and reconcile daily clinic deposits and petty cash, review and verify daily batches for accuracy against the EMR, and correct any discrepancies; also generate, compile, and fill out financial reports as requested
- Monitor and manage clinic inventory and supplies, assist in basic clinic maintenance and coordinate repairs as needed
- Ensure the clinic is open and prepared for the day's work at least 30 minutes before the first patient
- Other duties as assigned
What You Will Bring:
- Bachelor’s degree in Healthcare Administration or actively pursuing (preferred)
- Minimum 2 years of Medical Reception and/or Medical Office Manager work experience
- Out-patient Physical Therapy office and/or billing experience (Preferred).
- Prior experience in a leadership or management role, preferably in a healthcare setting, reliable attendance
- Trained and able to maintain HIPAA, clinic, patient privacy, PCI Compliance.
- Flexibility with ever-changing medical field requirements and ability to learn/display competency in UPT Practice Management software, others as needed
- Experienced in Microsoft office, specifically Word, Excel, Outlook.
- Excellent communication and interpersonal skills, even in stressful situations
- Project management skills and confident app use, ability to type at least 45 words per minute
- Detail-oriented, able to multitask, and highly organized
- Current CPR certification for Healthcare Professionals or willingness to obtain within 30 days of hire

- The employee is regularly required to: perform repetitive wrist, hand and/or finger movement, feel the attributes of objects, grasp, push, and reach with arms or hands.
- Must be able to regularly move objects of 15lbs. and occasionally up to 45lbs
