Our Corporate Office in Costa Mesa, CA serves as the hub for operations, finance, HR, and executive support. This role is designed to support both corporate functions and provide direct assistance to the CEO.
Position Summary
We are seeking a highly organized Corporate Administrative Assistant / Executive Assistant to join our corporate team. This role is primarily focused on corporate office support while also assisting the CEO remotely with scheduling, communications, and special projects.
The ideal candidate has collegiate golf experience (for cultural credibility), proven EA/administrative background, and thrives in a dynamic environment where task execution and precision are critical.
Key Responsibilities
Corporate & Administrative Support
Manage daily administrative tasks for the corporate office and C-Suite team.
Schedule meetings, prepare agendas, take detailed notes, and manage follow-ups.
Maintain filing systems, HR paperwork, and corporate documentation.
Assist with payroll processing, PTO tracking, and expense reporting.
Prepare KPI reports, presentations, and light briefing materials.
Executive Assistance
Support the CEO remotely with calendar management and light communications.
Triage messages and draft concise responses when appropriate.
Coordinate occasional special projects on evenings/weekends.
Handle sensitive and confidential information with discretion.
Personal & Family Support (Limited Scope)
Plan and coordinate occasional personal/family travel and itineraries.
Provide support for junior golf scheduling as needed.
Run local errands and assist with logistics on occasion.
Qualifications
Required:
Collegiate golf experience (played competitively at the college level).
3–5 years supporting a senior executive, founder, or high-profile family.
Elite organization, follow-through, and attention to detail.
Discretion and confidentiality (NDA & background check required).
Tech-savvy: Google Workspace, Google Calendar, iPhone apps, task tools.
Valid driver's license, clean driving record, and reliable vehicle.
Flexibility for occasional evenings, weekends, and projects.
Preferred:
Experience in both corporate administrative support and executive assistance.
Comfort balancing personal/family support with corporate priorities.
Strong written communication skills.
Schedule & Location
Full-time, Monday–Friday (8-hour shifts).
Based at UGP Corporate Office (Costa Mesa, CA).
Availability for occasional weekend projects or special assignments.
Rare travel required.
Compensation & Benefits
Salary range: $65,000 – $80,000 annually, commensurate with experience.
