The Payroll & Accounts Payable Systems Administrator is responsible for the administration, maintenance, and optimization of payroll and AP systems to ensure accurate, timely, and compliant processing. This role serves as the primary systems expert, supporting payroll and AP operations through system configuration, troubleshooting, reporting, and continuous process improvement while ensuring compliance with federal, state, and local regulations.

Payroll Systems Administration

Administer and maintain Paycor payroll systems to ensure accurate wage, tax, benefit, garnishment, and deduction processing.

Configure and maintain employee earnings, deductions, taxes, and pay groups in accordance with company policies and legal requirements.

Ensure compliance with FLSA, wage and hour laws, tax regulations, and multi-state payroll requirements.

Support payroll audits, reconciliations, and year-end processes (W-2s, corrections, amendments).

Monitor system controls, access permissions, and data integrity.
Accounts Payable Systems Administration

Maintain and support AP systems for invoice processing, vendor setup, payment runs, and reconciliations.

Ensure accurate coding, approvals, and payment processing in alignment with internal controls and accounting policies.

Assist with 1099 tracking, reporting, and year-end filings.

Troubleshoot AP system issues and coordinate with vendors or internal teams to resolve discrepancies.
Systems & Process Optimization

Act as the primary liaison with payroll and AP system vendors for issue resolution, enhancements, and upgrades.

Test system updates, patches, and new functionality; document results and implement approved changes.

Develop and maintain system documentation, process workflows, and user guides.

Identify opportunities to streamline payroll and AP processes through automation and system improvements.

Support integrations between payroll, HRIS, timekeeping, and accounting systems.
Reporting & Compliance

Generate standard and ad hoc payroll and AP reports for Finance, HR, and leadership.

Support internal and external audits by providing system data, documentation, and analysis.

Ensure system configurations support accurate financial reporting and general ledger reconciliations.
