The Administrative Support Specialist provides essential operational and fiscal support to the Campus Security Office.
Duties and Responsibilities
Responsible for performing a wide variety of administrative, fiscal, and personnel duties to support the Campus Security Office.
Serves as the primary point of contact for the Campus Security Office, addressing inquiries from students, visitors, and VIPs regarding University policies, procedures, and campus directions.
Independently manages walk-in traffic by providing accurate information and coordinating immediate requests for service with on-shift University Security Officers (USOs) and dispatchers.
Assists with department procurement processes, including preparing requisitions, managing "super quotes," and executing purchases via purchase card (P-Card) in compliance with university policies
Coordinates with the logistics of departmental meetings and transcribes, distributes & maintains official minutes.
Oversees the daily operations of the department's lost and found.
Completes special projects as assigned.
Assists in rendering aid as needed, including notifying the chain of command, or contacting Student Medical Services &/or 911.
Successfully completes all mandatory University and departmental trainings to maintain certification and stay current on security protocols.
Ensures the immediate and timely reporting of all crimes to the Director of Campus Security.
Manage the Campus Security website content.
Performs other related duties as required.
Minimum Qualifications
Possession of a baccalaureate degree for fiscal or business administration, or related field and 1 year of progressively responsible professional experience with responsibilities in one or more functional areas of office management, procurement, or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
Functional knowledge of principles, practices and techniques in the area of fiscal or business administration, or technical support demonstrated by knowledge, understanding and ability to apply concepts, terminology.
Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with fiscal or business administration.
Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of accounting or business administration.
Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
Demonstrated ability to operate a personal computer, apply word processing software such as Google Workspace, MS Office Suite (Word, Excel, etc.), Adobe Acrobat, and other commonly used business application software.
Demonstrated ability to prioritize and organize workload to meet scheduled deadlines.
Demonstrated ability to produce work that is detail oriented and accurate.
Desirable Qualifications
Professional work experience in a Public Safety environment.
Professional work experience performing administrative or fiscal responsibilities within the State of Hawaii and/or post-secondary education setting.
Working knowledge of FERPA, the Clery Act, and Title IX.
Working knowledge of UH policies, procedures, and organizational structure.
Working knowledge of UH personnel, software, and financial database systems such as PeopleSoft, NeoGov, Kuali Build (KB), Kuali Financial System (KFS), web content management system, etc.
