United Way of Pioneer Valley is looking for an Executive Administrative Assistant to keep our executive operations running smoothly. You’ll be the right hand to our CEO and a steady point of coordination across staff, board, community partners, and the public — the person who keeps schedules, records, and meetings on track so the rest of the work can move.
This is a strong fit for someone organized, discreet, and dependable, who takes initiative and follows through without being asked twice.
What you’ll do
- Manage the CEO’s calendar, coordinate meetings and travel, and prepare agendas, materials, and correspondence.
- Screen and route calls, mail, and email, and track action items through to completion.
- Coordinate board and committee meetings — logistics, materials, reminders, and minutes — and keep board records and rosters current.
- Maintain organized filing for contracts and MOUs, track key dates and renewals, and flag them in advance.
- Support finance and HR with expenses, invoices, onboarding paperwork, and recordkeeping.
- Serve as a professional first point of contact, and support events and special projects as needed.
What you bring
- Three or more years of administrative or executive support experience.
- Strong organizational skills and attention to detail, with the ability to juggle several priorities at once.
- Clear, professional writing and speaking.
- Discretion and sound judgment with confidential information.
- Proficiency with Microsoft Office and Google Workspace, and comfort learning new tools and databases.
Nonprofit experience, or familiarity with board support, bookkeeping, or HR administration, is a plus.
The details
Full-time, non-exempt. Primarily on-site at our Springfield office, with occasional early-morning or evening hours for board meetings and events. Salary range $50,000–$65,000, plus benefits.
