JOB OVERVIEW
The Target Hiring Range for this position is: $64,000-$70,000
The Senate Recording Studio is seeking an Administrative Specialist to support with various administrative tasks including but not limited to answering phones, greeting guests, scheduling work orders, and processing financial information. This position requires high level of attention to detail, exceptional customer service skills, and the ability to multitask in a high traffic environment. Experience in managing multiple phone lines and utilizing the Microsoft Office Suite is highly desired. Work is performed under the supervision of the Administrative Manager of Capitol Operations.
Key Accountabilities/Essential Job Duties
Coordinates internal and external communications, including scheduling audiovisual work orders, answering and directing telephone calls, and providing information to customers via phone or in person. Verifies credentials and confirms appointments with customers and guests. Sorts and distributes incoming mail and packages, assists with outgoing mail and packages, and provides additional administrative support as needed. Maintains overall appearances of the office and supply inventory. Keeps track of office supplies and reorders when needed. Performs administrative duties such as creating reports, updating website content and maintaining usage metrics. Provides support to stakeholders in navigating audiovisual tools and systems by gathering and interpreting customer feedback and offering solutions based on established processes. Improves end user experience by escalating issues, when needed. Coordinates various administrative tasks related to the operations of the department. Processes invoices and payments for all services; coordinates with the Finance department to maintain Accounts Receivable for Senate offices; maintains accurate and detailed monthly financial records; maintains department authorization list for all Senate offices, including the moratorium schedule and assists Senate offices with granting and/or removing office management software authorizations as needed. Other duties as assigned.

JOB SPECIFICATIONS
Required Education

Required Work Experience
- Three years of relevant experience.

- Ability to answer a multi-line phone system with a high call volume.

- Ability to learn the Capitol building and surrounding area.
- Knowledge of modern office practices and procedures.
- Ability to follow specific rules, regulations, procedures and protocols.

- Ability to establish and maintain effective working relationships with co-workers, customers, guests, and the public.
- This position requires an on-site presence to support the U.S. Senate while in session.
- The person in this position needs to occasionally move, bend, crawl, stand for long durations.
- Frequently moves boxes/ equipment weighing less than 50 pounds for various needs.
- The person in this position may be required to work outside core SAA working hours, including nights and weekends.
To be employed by a Senate employing office in a paid position in the continental United States an individual must:
- Be a U.S. citizen;
- Be lawfully admitted for permanent residence and seeking citizenship as outlined in 8 U.S.C.
- 1324b(a)(3)(B);
- Be (i) admitted as a refugee under 8 U.S.C.
- 1157 or granted asylum under 8 U.S.C.
- 1158 and (ii) have filed a declaration of intention to become a lawful permanent resident and then a citizen when eligible; or
