The HR Coordinator supports People Operations by coordinating recruiting, onboarding, employee records, benefits administration, training administration, compliance tracking, and HR systems across multiple states and business divisions. This role serves as a central point of coordination for HR processes, documentation, communication, and follow-through to help ensure employees, leaders, and external HR partners receive accurate and timely support.
The HR Coordinator works closely with leadership, employees, benefit providers, and external HR resources to help ensure HR processes, records, compliance requirements, and employee support activities are organized, communicated, and completed accurately. This position requires strong organization, attention to detail, accountability, confidentiality, follow-through, and the ability to manage multiple priorities while maintaining a high level of accuracy, professionalism, and service.
General Accountabilities
Recruiting, Onboarding & Offboarding
• Support recruiting efforts through job postings, candidate communication, interview scheduling,
walkthrough coordination, and offer letter preparation.
• Coordinate onboarding activities, including new hire paperwork, employee checklists, training
assignments, account setup requests, and personnel file administration.
• Support new hire orientation, company introductions, policy acknowledgements, and onboarding followthrough.
• Maintain accurate employee records and support employee lifecycle processes from onboarding
through separation.
• Assist with offboarding activities, including exit documentation, account closure requests, company
property collection, and personnel file updates.
Training, Safety & Development Administration
• Coordinate employee training assignments, learning paths, refresher training, safety requirements, and
development programs across departments and locations in partnership with leadership, external
training providers, and HR resources as needed.
• Maintain training records, completion tracking, certifications, incident documentation, and supporting
compliance records.
• Support annual training requirements, employee development activities, and company learning
initiatives.
• Maintain training materials, standard operating procedures, learning resources, and employee
development documentation.
• Support Workers’ Compensation documentation and accident reporting processes by gathering
required information, maintaining records, and assisting with administrative follow-up.
HR Systems, Compliance & Recordkeeping
• Maintain accurate employee records, personnel files, HR systems, databases, I-9 records, E-Verify
documentation, certifications, and related employee information in accordance with company policies
and applicable requirements.
• Assist in the coordination of compliance tracking activities, including labor postings, workplace notices,
handbook acknowledgments, required training records, certifications, and other compliance-related
documentation.
• Maintain HR forms, policies, job descriptions, employee communications, and company resources to
ensure information remains current and accessible.
• Support HR audits, compliance reviews, reporting requests, and regulatory documentation by gathering,
organizing, and maintaining required information.
• Assist in the coordination of ADP Smart Compliance activities, including notice tracking, documentation
uploads, account maintenance support, and follow-up on open items.
• Support employee handbook updates, policy revisions, compliance initiatives, and company-wide
communication of HR-related information in partnership with leadership and external HR resources as
needed.
Benefits, Timekeeping & Payroll Support
• Support employee benefit enrollments, eligibility tracking, life event changes, employee requests,
provider and external HR communication, and benefits-related documentation to help ensure employee
information remains accurate and current.
• Track employee time-off requests, call-offs, leave-related documentation, and related employee records
in accordance with company procedures.
• Support timekeeping administration by reviewing employee time records, processing corrections as
directed, and assisting with timekeeping follow-up and documentation.
• Conduct routine audits of HR and employee data, including employee information, benefit elections,
time-off balances, job changes, and other HR system records.
• Support payroll-adjacent processes by maintaining accurate records, supporting documentation, and
employee information required for payroll processing.
Employee Support & HR Coordination
• Serve as a point of contact for routine employee and leadership questions regarding HR processes,
benefits, training, onboarding, timekeeping, policies, resources, and related support needs, ensuring
timely documentation and follow-through.
• Support employee relations processes by maintaining documentation, coordinating meetings, tracking
follow-up items, and assisting with administrative activities as directed.
• Maintain confidentiality and exercise professionalism, discretion, sound judgment, and accountability
when handling employee information and sensitive matters.
• Build positive working relationships with employees, leaders, benefit providers, external HR resources, and
business partners while supporting a respectful, service-oriented work environment.
Team Collaboration & Continuous Improvement
• Work collaboratively across departments to support HR operations, employee support activities,
compliance efforts, and organizational goals.
• Adapt to changing priorities, business needs, employee requests, regulatory requirements, and
operational demands in a fast-paced environment.
• Assist with special projects, process improvements, audits, system implementations, and HR initiatives as
assigned.
• Contribute to a culture of accountability, communication, collaboration, professionalism, emotional
intelligence, and continuous improvement.
• Help identify opportunities to improve HR processes, employee experience, communication,
organization, recordkeeping, training administration, and operational efficiency.
