Overview
Our client is seeking a detail‑oriented Order Management Specialist to support daily operations across order processing, vendor coordination, purchasing support, and production workflow. This role ensures that every order is accurately entered, properly documented, and efficiently moved through fulfillment.
This position is ideal for someone who enjoys structured processes, clear communication, and cross‑department collaboration.
Key Responsibilities
Order Processing & Documentation
- Review incoming sales orders for accuracy, required documentation, and completeness.
- Enter detailed order information into an ERP system and maintain accurate job notes.
- Support the quoting process by entering BOMs, attaching documents, and ensuring routing accuracy.
- Maintain organized digital and physical documentation for compliance and traceability.
Vendor & Purchasing Support
- Create, send, and track purchase orders with vendors.
- Follow up on confirmations, pricing, lead times, and late shipments.
- Communicate with vendors regarding availability, pricing, and invoicing issues.
- Monitor inventory levels for stock items (labels, hardware, misc. materials) and proactively flag shortages.
Production & Cross‑Functional Coordination
- Collaborate with leadership to prioritize urgent orders and resolve discrepancies.
- Track order progress through fulfillment and communicate updates as needed.
- Coordinate with production to ensure materials, documentation, and timelines align.
Continuous Improvement
- Identify opportunities to improve order accuracy, communication flow, and documentation processes.
- Contribute to a culture of accountability, teamwork, and operational excellence.
Qualifications
- 2-4 years of experience in order management, purchasing coordination, logistics, or supply chain administration (manufacturing or distribution preferred).
- Experience with ERP systems (Compass E2, SAP, NetSuite, Epicor, etc.) is a plus.
- Strong attention to detail and accuracy under tight timelines.
- Excellent communication and follow‑up skills.
- Proactive, resourceful, and comfortable asking questions or making informed decisions.
- Proficient with MS Office Suite, especially Outlook and basic Excel.
- Ability to manage multiple priorities independently while remaining team‑oriented.
