$20-$22/hour | Full-Time | Direct Hire | M-F 8am-5pm

We are seeking a highly organized, detail-oriented Office Support Coordinator / Administrative Assistant to support daily operations in a growing, project-driven construction environment. This role combines front desk reception, office administration, invoice processing, compliance documentation, and operations coordination-perfect for someone who thrives in a fast-paced, deadline-driven workplace.

Key Responsibilities (Administrative Clerical Operations Accounting Support)

  • Serve as front desk receptionist / office coordinator / administrative assistant
  • Provide customer service support to visitors, vendors, subcontractors, and clients
  • Answer and route multi-line phone calls, manage emails, and handle inquiries
  • Process and distribute incoming mail, certified mail, packages, and shipments
  • Coordinate shipping, logistics, and tracking documentation (FedEx, UPS, etc.)
  • Maintain office supplies, inventory, and organized workspace
  • Perform data entry, document management, and file organization
  • Support invoice processing, accounts payable (AP), and accounting workflows
  • Assist with subcontractor compliance, lien waivers, COIs, and vendor documentation
  • Prepare project startup packets, construction documentation, and job files
  • Provide general administrative support, clerical support, and office coordination

Required Skills & Qualifications

  • 1-3 years of experience in administrative assistant, office assistant, receptionist, or office coordinator roles
  • Strong customer service, communication, and interpersonal skills
  • Excellent organization, time management, multitasking, and attention to detail
  • Ability to work in a fast-paced, high-volume, deadline-driven office environment
  • Proficiency in Microsoft Office (Excel, Outlook, Word)
  • Experience with phones, scheduling, data entry, and document processing
  • Reliable, professional, and able to work independently and prioritize tasks

Preferred Experience

  • Accounts payable (AP), invoice processing, billing support, bookkeeping
  • Construction, real estate, property management, or project-based industry experience
  • Experience with compliance documentation, subcontractors, lien waivers, insurance certificates (COIs)
  • Exposure to operations support, project coordination, or logistics coordination
