The Benefits Specialist is responsible for the day-to-day administration of employee benefits programs and serves as the primary point of contact for employees, vendors, and third-party administrators. This role ensures compliance with all applicable regulations, supports open enrollment activities, resolves benefits-related issues, and provides exceptional customer service to employees.
Position Responsibilities:
*Administer employee benefits programs, including medical, dental, vision, COBRA, life insurance, disability, and 401(k).
*Serve as the primary contact for employee, carrier, and third-party administrator inquiries related to benefits.
*Ensure compliance with federal and state regulations, including COBRA, ERISA, ACA, FMLA, and ADA.
*Conduct audits related to benefits and benefits data to ensure accuracy and compliance.
*Troubleshoot and resolve issues related to benefit plans, eligibility, enrollment, and systems; collaborate with internal departments such as Payroll, HR, and IT to resolve discrepancies.
*Assist in coordinating annual open enrollment and employee benefits education meetings.
*Support the configuration and maintenance of benefits plans and enrollment modules (new hire, life events, open enrollment) within ADP.
*Administer benefit changes including enrollments, life events, terminations, COBRA, beneficiaries, disability, accident and death claims, QMCSOs, and compliance testing.
*Assist in the development and distribution of benefits communication materials.
*Create and maintain user guides and process documentation for benefits-related tasks and procedures.
*Provide timely, accurate, and professional customer service to all benefit-related inquiries.
*Perform general administrative duties such as invoice processing, correspondence, and ad-hoc report generation within ADP.
*Review payroll registers and payroll summaries to verify benefit deductions and resolve discrepancies.
Qualifications:
*Minimum of 2 years of experience in benefits administration with demonstrated knowledge of regulatory and compliance requirements.
*Minimum of 2 years of experience managing multistate leave programs, including FMLA, Military Leave, Short-Term Disability (STD), Long-Term Disability (LTD), Personal Leave of Absence (PLOA), and related processes (requests, approvals, tracking, coordination, and benefits billing).
*Strong proficiency in Microsoft Excel, Word, Gmail and the Google Workplace.
*Experience working with HRIS and payroll systems; ADP Workforce Now (WFN) experience preferred.
*Proficient in Microsoft Excel.
*Results-driven with strong analytical, troubleshooting, and problem-solving skills.
*Exceptional attention to detail and accuracy.
*Ability to handle confidential information with discretion.
*Flexible and able to reprioritize quickly in a dynamic environment.
*Ability to work effectively both independently and as part of a collaborative team.
