What are the responsibilities and job description for the Permit Coordinator (Construction / Plumbing Services) position at Ultimate Drain Cleaning & Service, LLC?
Job Title: Permit Coordinator (Construction / Plumbing Services)
Location:Monroe Township, NJ
About the Role
We are a growing multi-state plumbing and sewer service company processing thousands of jobs per month. Permitting is a critical function in our operation—not a back-office task.
We are looking for a highly organized, detail-driven Permit Coordinator who takes full ownership of getting permits submitted, tracked, and approved without delays or errors.
This is a process-heavy, deadline-driven role where accuracy, follow-through, and communication matter daily.
What You’ll Be Responsible For
- Preparing and submitting permit applications across multiple municipalities
- Ensuring all required documentation is complete and accurate before submission
- Tracking all permits from submission through approval
- Following up consistently with municipalities to prevent delays
- Communicating permit status clearly to internal teams (dispatch, operations, management)
- Identifying and resolving issues before they impact job scheduling
- Maintaining organized records and up-to-date tracking systems
- Managing multiple permits at different stages simultaneously without losing visibility
What Success Looks Like
- Permits are submitted quickly and correctly the first time
- Minimal rejections due to missing or incorrect information
- No jobs delayed due to lack of permit visibility or follow-up
- Clear, proactive communication—no surprises
- You own your pipeline and keep it moving at all times
This Role Is NOT a Fit If You:
- Need constant direction or reminders to follow up
- Struggle with attention to detail or miss small steps
- Get overwhelmed managing multiple tasks at once
- Avoid difficult follow-ups or delays
- Prefer reactive work instead of owning outcomes
This Role IS a Fit If You:
- Are highly organized and naturally detail-oriented
- Follow through on tasks without being asked
- Are persistent and comfortable chasing answers
- Take ownership when something goes wrong and fix it
- Can manage a high volume of work without dropping the ball
- Communicate clearly and proactively
Experience Preferred
- Experience with permitting, construction admin, or municipal processes (strongly preferred)
- Experience in plumbing, sewer, or home services is a plus
- Strong administrative and coordination background required
Compensation
- Competitive pay based on experience
- Health/dental benefit
- Simple IRA and match 3%
To Apply
Please submit your resume along with a short response to the following:
- Describe a role where you had to manage multiple tasks with deadlines. How did you stay organized?
- Tell us about a time something fell through the cracks. What happened and what did you change after?
- What systems or tools do you use to track work and ensure nothing gets missed?
We are looking for someone who takes ownership and executes consistently. If that’s how you operate, we want to talk.—
