Paralegal & Administrative ManagerLocation: Palo Alto, CA (Hybrid) Organization: Top International Law FirmThe RoleWe are looking for a Paralegal and Administrative Manager to join our Palo Alto office. This position plays a pivotal role in overseeing the daily operations of both the Paralegal and Administrative Support teams. The manager will be responsible for staff leadership, workflow coordination, training, and process improvement, while also collaborating with firm leadership across multiple offices to ensure consistency and efficiency.Key ResponsibilitiesLead, train, and evaluate staff within the Paralegal and Administrative Support functions.Oversee daily assignments, scheduling, and workflow to ensure smooth operations.Partner with attorneys to assess case needs and align support resources accordingly.Monitor productivity and utilization across teams, identifying opportunities for improvement.Collaborate with office and firm-wide leadership on staffing, integration, and cross-office initiatives.Provide mentorship and professional development guidance to staff.Assist in budget planning and monitor departmental expenses throughout the year.Support recruitment efforts, including interviewing and providing feedback on candidates.Ensure compliance with firm policies, procedures, and industry best practices.Manage performance expectations, coach employees, and address performance issues when necessary.Track attendance, overtime, and expense reporting for accuracy and compliance.Develop and communicate departmental guidelines to promote efficiency and service excellence.Maintain strong communication with attorneys, staff, and management to foster collaboration.Uphold confidentiality and exercise sound judgment in sensitive matters.QualificationsMinimum 5 years of administrative management experience in a law firm or professional services environment.At least 10 years of leadership experience in a professional services setting.Bachelor’s degree required.Strong knowledge of litigation and corporate transactions, including legal technology tools.Demonstrated ability to lead teams, implement processes, and manage change effectively.Proficiency in MS Word, Excel (advanced), PowerPoint, and project management/database applications.Excellent organizational, analytical, and problem-solving skills.Strong interpersonal and communication abilities, both written and verbal.Ability to manage multiple priorities in a fast-paced environment.Flexibility to adjust hours as needed to meet business demands.CompensationBase salary range: $170,000 – $185,000, commensurate with experience.Eligible for discretionary year-end bonus.BenefitsComprehensive health coverage (medical, dental, vision).401(k) savings plan and voluntary benefits.Generous paid time off and parental leave options.Professional development opportunities (in-person, remote, and on-demand).Wellness programs and classes.Opportunities to contribute to community initiatives.Company DescriptionExceptional work environment and culture
