Responsibilities
- Coordinate all aspects of winery events, including tastings, private parties, weddings, corporate gatherings, and fundraising events.
- Develop detailed event plans, timelines, and budgets to ensure successful execution within scope and resource constraints.
- Negotiate contracts with vendors such as caterers, entertainers, decorators, and rental companies to secure quality services at favorable terms.
- Collaborate with marketing teams to promote upcoming events through social media, email campaigns, and local outreach efforts.
- Manage event logistics from initial planning through day-of coordination, including setup, guest registration, catering arrangements, and teardown.
- Provide exceptional customer service by addressing guest inquiries promptly and ensuring a welcoming atmosphere throughout each event.
- Upsell winery experiences or products during events to enhance revenue opportunities while maintaining guest satisfaction.
- Oversee budgeting processes for each event, tracking expenses and ensuring profitability while maintaining high standards of quality.
- Maintain strong relationships with clients and vendors through clear communication and professional negotiation skills.
Skills
- Proven experience in event marketing and event planning within hospitality or related industries such as restaurants, hotels, or banquet services.
- Strong negotiation skills to secure favorable contracts with vendors and partners.
- Excellent communication skills for liaising with clients, team members, and external partners effectively.
- Exceptional organizational skills to manage multiple events simultaneously while adhering to deadlines.
- Proficiency in budgeting and financial management for event operations.
- Customer service expertise to ensure guest satisfaction from initial inquiry through post-event follow-up.
- Knowledge of catering operations, banquet procedures, and restaurant or hotel experience is highly desirable.
- Ability to coordinate logistics involving catering services, venue setup, guest accommodations, and entertainment options.
- Experience with fundraising events or nonprofit collaborations is a plus.
