Job Summary
We are seeking a dynamic and highly organized Dispatcher / Scheduler to join our transportation operations team. Essential Responsibilities
Dispatching & Scheduling
- Coordinate daily scheduling and dispatching of field employees and crews.
- Assign personnel to jobs based on availability, qualifications, location, and job requirements.
- Monitor schedules throughout the day and adjust as priorities or job conditions change.
- Communicate schedule changes clearly and promptly to field personnel, supervisors, customers, and management.
- Maintain accurate records of scheduled work, job assignments, and employee availability.
- Coordinate emergencies, priority, or last-minute service requests.
- Monitor job status and follow up on incomplete or delayed work.
- Help ensure crews arrive at the correct location with the appropriate information and resources.
- Maintain organized scheduling records and documentation.
Communication & Customer Service
- Answer and route incoming phone calls.
- Communicate professionally with customers, employees, vendors, and field personnel.
- Take accurate messages and document important information.
- Respond to scheduling questions and assist customers with basic job-status inquiries.
- Maintain a professional and helpful attitude when handling time-sensitive or difficult situations.
Administrative & Office Support
- Perform general office duties including printing, scanning, copying, filing, and organizing documents.
- Assist with basic billing and administrative tasks.
- Enter and maintain accurate information in company software systems.
- Assist with document preparation and distribution.
- Maintain organized electronic and paper records.
- Provide administrative support to Operations and Management as needed.
Software & Data Entry
- Utilize Microsoft Office applications, including Outlook, Word, and Excel.
- Utilize Foundation Software for job and company-related information.
- Utilize QuickBooks for basic administrative and billing-related functions.
- Learn and utilize TVR’s scheduling, dispatching, timekeeping, and other operational software.
- Enter information quickly and accurately while maintaining a high level of attention to detail.
Required Qualifications
- High school diploma or equivalent preferred.
- Previous dispatching, scheduling, construction, service, administrative, or office experience preferred.
- Strong computer skills.
- Fast and accurate typing and data-entry skills.
- Working knowledge of Microsoft Office.
- Ability to learn and effectively use Foundation Software and QuickBooks.
- Excellent verbal and written communication skills.
- Strong organizational and time-management skills.
- Ability to multitask and prioritize competing demands.
- Ability to remain calm and professional in a fast-paced environment.
- Strong attention to detail and accuracy.
- Dependable attendance and punctuality are essential.
- Ability to work independently while also functioning effectively as part of a team.
Preferred Qualifications
- Previous experience in construction, electrical, mechanical, HVAC, plumbing, utility, or other field-service industries.
- Previous dispatch or field-service scheduling experience.
- Experience working with construction management or accounting software.
- Familiarity with job costing, work orders, purchase orders, timecards, or invoicing.
- Knowledge of construction terminology and field operations.
- Experience coordinating multiple crews or technicians.
