We are seeking a detail-oriented and highly organized Data Entry Specialist to support Accounts Receivable (AR) and Accounts Payable (AP) functions within our finance team. Essential Responsibilities
AR/AP Data Entry
- Perform high-volume data entry for the Accounts Receivable and Accounts Payable departments.
- Enter invoices, bills, payments, receipts, customer information, vendor information, purchase orders, and other accounting-related documentation.
- Accurately enter data into company accounting and construction management systems.
- Review source documents for completeness and accuracy before entering information.
- Verify entered information and identify discrepancies or missing information.
- Assist with invoice processing and documentation.
- Assist with customer and vendor account maintenance.
- Assist AR/AP personnel with daily administrative and data-entry requirements.
- Maintain organized electronic and paper documentation.
- Assist with filing and document retention.
Construction Accounting Support
- Work with construction-related invoices, purchase orders, work orders, job numbers, cost codes, and supporting documentation.
- Enter information accurately according to established job and accounting procedures.
- Understand basic construction terminology and documentation.
- Assist in maintaining accurate job-related financial records.
- Communicate with project managers, field personnel, vendors, customers, and accounting staff when information is missing or requires clarification.
- Follow established procedures for assigning and entering job-related information.
Data Accuracy & Quality Control
- Maintain a consistently high level of data-entry accuracy.
- Perform quality checks on entered information.
- Identify duplicate, incomplete, or incorrect information.
- Correct errors promptly and appropriately.
- Maintain confidentiality of company, customer, employee, and vendor information.
- Meet established productivity and accuracy expectations.
General Administrative Support
- Provide administrative support to AR/AP and Accounting as needed.
- Print, scan, copy, organize, and file documents.
- Prepare documents for processing, mailing, or electronic distribution.
- Assist with special accounting and administrative projects.
- Perform other duties as assigned.
Required Qualifications
Construction industry experience is REQUIRED.
- Previous experience working for a construction company, contractor, subcontractor, engineering firm, or related construction organization.
- Previous high-volume data-entry experience.
- Strong working knowledge of Microsoft Office.
- 10-key by touch is REQUIRED.
- Fast and accurate keyboarding skills.
- Strong attention to detail.
- Excellent organizational skills.
- Ability to handle a high-volume workload while maintaining accuracy.
- Ability to prioritize multiple tasks and meet deadlines.
- Strong written and verbal communication skills.
- Ability to work independently and as part of an accounting team.
- Dependable attendance and punctuality are essential.
- Ability to maintain confidentiality.
Preferred Qualifications
- Previous AR/AP experience.
- Construction accounting experience.
- Experience with construction accounting or ERP software.
- Experience with QuickBooks.
- Experience with Foundation Software.
- Familiarity with job costing.
- Familiarity with purchase orders, change orders, subcontractor invoices, vendor invoices, and customer billing.
- Experience working with construction project documentation.
Technical Skills
The successful candidate must be proficient in:
- Microsoft Outlook
- Microsoft Word
- Microsoft Excel
- Microsoft Office
- 10-Key by Touch
- Accounting and/or ERP software
Experience with Foundation Software and QuickBooks is strongly preferred.

Work Schedule
Monday–Friday
8:00 AM–5:00 PM
This position is primarily office-based and requires consistent availability during scheduled business hours
