Job Overview

The Construction Project Coordinator is a pivotal member of the Turn Cycle Solutions operational team, contributing significantly to the successful execution and completion of our general contracting and energy efficiency projects. Working closely with company leadership and field Project Managers, you will provide invaluable administrative support in areas such as budgeting, scheduling, compliance, procurement, and documentation.

The ideal candidate is passionate about construction, highly organized, proficient in technology, and eager to learn and collaborate effectively with cross-functional teams to streamline both office and field operations.

Key Responsibilities Project

Administration & Planning

  • Execution Support: Assist in developing project plans, schedules, and technical specifications, supporting project workflows from initial start to final sign-off.
  • Progress Monitoring: Provide comprehensive administrative support to Field Project Managers, coordinating project tracks and monitoring daily milestone progress to ensure strict compliance with TCS standards.
  • Project Development: Serve as a primary administrator for our internal project management software. Work closely with the tool to set up new projects, build budgets, track timelines, and document all crucial project details.

Financial & Budget Management

  • Financial Tracking: Track and analyze live project finances, helping to safeguard job profitability and maintain budget integrity.
  • Invoicing & POs: Review incoming subcontractor and vendor invoices, cross-check them against project scopes, and set up internal Purchase Orders.
  • Analytical Tools: Develop internal cost calculators and prepare financial reports to analyze labor variables, material costs, and margin trends.
  • Interdepartmental Collaboration: Coordinate closely with billing and bookkeeping teams regarding deposit postings, stage billing triggers, and client invoices.

Scheduling & Subcontractor Management

  • Schedule Control: Create, manage, and continuously update master project schedules, ensuring alignment with overall company timelines and manpower availability.
  • Vendor Coordination: Support the field team by assisting with the scheduling, administrative outreach, and logistical coordination of subcontractors and vendors.
  • Compliance Tracking: Vet, request, and track subcontractor documentation. Monitor subcontractor insurance certificates, trade licenses, and safety standards to ensure complete compliance with all legal and regulatory requirements before they step onto a job site.

Supply Chain & Logistics Management

  • Vendor Sourcing: Manage ongoing supplier relationships, research material availability, source specialty products, and assist in negotiating favorable terms.
  • Delivery Coordination: Oversee site infrastructure and material logistics, directly coordinating bulk material deliveries (such as lumber packages) prior to project starts to minimize unnecessary material runs for field crews.
  • Site Services: Manage administrative logistics for site support services, including coordinating drop-offs, swaps, and pick-ups for job dumpsters and facilities.

Documentation, Asset Management, & Operations Support

  • Standard Operating Procedures: Develop, refine, and maintain operational and procedural documents to optimize office-to-field workflows.
  • Information Archival: Document specific building details, organize field-submitted project receipts, and ensure daily site logs (including progress photos) are systematically archived.
  • Optimization Research: Conduct ongoing research on operational optimization opportunities to improve company efficiency and project delivery.
  • Warranty Management: Take ownership of post-project workflows by systematically filing operational data, following up on product warranties, and resolving client warranty claims.

Core Qualifications & Skillset

  • Experience: 1–3 years of experience in project management, construction administration, bookkeeping, or property management. General construction industry experience is a strong plus.
  • Analytical Skills: Strong analytical capabilities with a knack for numbers, budgeting, and the ability to identify data trends.
  • Organization: Excellent organizational and time-management skills, capable of managing multiple tasks simultaneously and prioritizing effectively in a fast-paced environment. Meticulous attention to detail is required.
  • Communication: Strong written and verbal communication skills, including the ability to clearly convey technical construction information to both technical field teams and non-technical clients or homeowners. A collaborative team player who can build strong working relationships.
  • Problem Solving: Creative problem-solving abilities with a proactive, "do the right thing" mindset.
  • Technology: Highly proficient in project management software, budgeting tools, and standard productivity applications (Google Workspace/MS Office). A strong commitment to continuous learning and staying updated on construction industry trends.

Pay: $65,000.00 - $75,000.00 per year
