Job Summary
We are seeking a highly organized Facilities Coordinator / Project Support Specialist to support workplace operations and facilities-related projects in a fast-paced corporate environment. This role will assist with office coordination, vendor management, workspace planning, and facilities project execution while helping maintain a safe, efficient, and productive workplace environment.
The ideal candidate is detail-oriented, proactive, and comfortable managing multiple priorities while collaborating with internal teams, vendors, and property management.
Key Responsibilities
- Monitor and respond to facilities-related requests through shared team mailboxes and ticketing systems
- Support workplace and facilities projects from planning through completion
- Coordinate with vendors, contractors, property management, and internal stakeholders
- Assist with office moves, workspace planning, renovations, and furniture installations
- Track project schedules, budgets, invoices, work orders, and project updates
- Support maintenance coordination and vendor scheduling activities
- Serve as a liaison between employees and property management to resolve facilities-related concerns
- Assist with parking coordination and workplace logistics
- Maintain accurate records and documentation related to facilities operations and projects
- Travel occasionally to field or office sites to assess workspace and furniture needs
Required Qualifications
- Bachelor’s degree in Business, Facilities Management, Project Management, or related field
- 1–4 years of professional experience in facilities coordination, office operations, workplace services, or project support
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Experience coordinating with vendors, contractors, and internal stakeholders
- Proficiency with Microsoft Office applications, including Excel and Outlook
- Ability to manage multiple projects and priorities in a fast-paced environment
Preferred Qualifications
- Experience supporting corporate office moves or workplace projects
- Exposure to facilities management or property management environments
- Experience tracking budgets, invoices, and work orders
- Familiarity with workplace services, maintenance coordination, or space planning
