Clearance Specialist – Business Affairs (Contract)
Contract Duration: 4-month contract (with a strong possibility of extension)
Location: Glendale, CA 91201
Schedule: Monday–Friday, 8:00 AM – 5:00 PM
Work Arrangement: Hybrid

Pay Rate Range: $33.00–$39.00/hour
Trustpoint.One is partnering with a globally recognized entertainment organization to identify a Clearance Specialist – Business Affairs for a contract role supporting the Business Affairs Group. This is a highly process-driven position requiring strong analytical, reading, writing, and summarization skills. The Clearance Specialist will review and analyze images, documents, and other assets, draft summaries and guidance, and serve as a key point of contact for clearance-related matters across multiple business units.
Some experience with intellectual property matters (copyright or trademark) is helpful but not required. The ideal candidate is detail-oriented, organized, and comfortable presenting written analysis to legal teams and executive stakeholders.
Key Responsibilities
- Act as the primary point of contact for clearance requests on a wide range of assets, working with legal and business entities on behalf of the Business Affairs Group
- Manage and provide guidance on clearance requests, property and talent rights inquiries, and permission and approval obligations
- Partner with Commercialization, Operations, and Legal teams to facilitate clearances for assets across all global territories for merchandise use
Types of Clearances Include:
- Merchandise clearance of assets sourced from television series and film properties
- Business Affairs clearance requiring talent approval or risk analysis
- Legal clearance from a rights perspective
- IP clearance involving third-party intellectual property, including names, logos, and images
- Clearance related to theme park-related assets
Assets Reviewed May Include:
- Style guides
- Raw or loose assets such as unit photography, final frames, design elements, posters, concept art, social media posts, sweepstakes materials, marketing/publicity images, and artwork
- Images submitted as part of publishing products (books, magazines, calendars, etc.)
- Externally sourced assets, including artwork and photography from private or third-party collections
Additional responsibilities include:
- Reviewing talent agreements and succinctly summarizing key terms for executives and business partners
- Presenting written analysis and work product to attorneys, clients, and executives
- Working within rights management systems, processes, and databases
- Analyzing submissions to determine whether legal clearance is required
- Conducting initial clearance reviews using legal restriction charts and prior guidance, flagging potential issues for Legal review
- Tracking clearance requests, questions, and comments in Airtable
- Consulting during early stages of product development to advise on asset collection, metadata requirements, complexity, and turnaround timelines
- Communicating clearance comments and restrictions to requestors, including rewording legal language when needed
- Gathering agenda items and leading weekly Legal/Business meetings, capturing notes and distributing summaries
- Managing clearance priorities and deadlines to meet business needs
- Identifying clearance roadblocks and process efficiencies, implementing improvements where possible
- Assisting with review and management of collectibles and other releases, including reviewing marketing materials
- Exercising strong issue-spotting skills related to legal, talent, brand, and financial considerations, with attention to precedent and broader business impact
Basic Qualifications
- Four-year undergraduate degree (required)
- Legal coursework or certification preferred, or law firm/in-house experience handling contract administration or related matters
- Ability to work independently and exercise sound judgment, including knowing when to elevate issues
- Exceptional organizational, prioritization, and time management skills
- Strong analytical, interpersonal, verbal, and written communication skills
- High attention to detail and ability to manage multiple high-priority projects in a fast-paced environment
Preferred Qualifications
- Understanding of clearance-related legal and contractual issues, including intellectual property (copyright, trademark, right of publicity), production-related agreements for film and/or television, third-party rights acquisition and licensing, and applicable guild obligations
- Legal clearance experience or paralegal certificate
- Experience supporting consumer products, games, and/or publishing organizations
