What are the responsibilities and job description for the Deputy Recorder (Data Entry - DE) position at Trumbull County?
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:
DATA ENTRY: Information is entered for the first time as temporary data. Index consideration, check instrument type, grantor(s), grantee(s), legal description and marginal notations from a scanned image recorded and filed documents. Make sure Social Security #’s are redacted from any documents available to the public. Check for correct paging and bar code disposition. Notify supervisor when errors occur such as an incomplete or omitted transfer stamp, assignment on original document, and marginal notations not charged for, etc…Correct minor errors or refer error to proper department for correction.
RECORDING CASHIER: Accept recordable documents for recording from in person and electronic filing (e-file) customers, and assure conformity to specified requirements. Examine documents to assure property described is within Trumbull County and if documents meet recording standards. State method received, customer’s name, document type, identify signature and description page numbers, index names of grantor/grantee and note method and place of disposition. Produce copies of documents as requested. Compute itemized receipt showing method of payment, list checks, and issue receipt to customers, stamp seals and place bar codes on recorded documents. Receive and enter debit and escrow payments, receive and verify register receipt. Check and balance individual cash drawer daily. Open and help record mailed in/interoffice documents as necessary.
CUSTOMER SERVICE: Assist general public by answering inquiries either in person or by telephone. Answer work-related questions of co-workers as needed. Provide excellent customer service to all customers during any customer interactions. Assist Veterans in need of new or renewal of Veteran ID Cards. Check email account daily for office and county correspondence.
**Acts as back-up to be primary scanner or recording cashier as necessary**
REQUIRED TO PERFORM ANY DUTIES RELATED TO THE OPERATION OF THE RECORDERS OFFICE AS NECESSARY.
QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: High School diploma with coursework in office practices and procedures, related equipment, data processing equipment and techniques or general education degree (GED); one year related experience and/or training, or equivalent combination of education and experience. Experience with Deed and Mortgage related documents preferred.
LANGUAGE SKILLS: Able to read and comprehend simple instructions, short correspondence and memos. Able to write simple correspondence. Able to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.
MATHEMATICAL SKILLS: Able to add and subtract two digit numbers and to multiply and divide. Able to perform these operations using units of American money and weight measurement, volume and distance.
REASONING ABILITY: Able to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Able to deal with problems involving a few concrete variables in standardized situations.
CERTIFICATES, LICENSES, REGISTRATIONS: Must meet bonding requirements of the State of Ohio.
OTHER SKILLS AND QUALIFICATIONS: Skilled typist and ability to prepare and maintain accurate records. Good understanding of Microsoft Office, primarily Word and Excel. Skilled in learning how to use various software programs quickly.
