Trueline's client, a well-established multifamily residential development and construction organization in Westchester County, is seeking a Construction Project Administrator to join their onsite team in the White Plains / Ossining area. This is a strong opportunity for a detail-oriented construction administrator who enjoys keeping active projects organized, supporting field teams, and building long-term stability across a steady project pipeline.
What You'll Do as the Construction Project Administrator:
- Prepare, organize, and track contracts, purchase orders, change orders, submittals, and shop drawings
- Support Project Managers with documentation, schedule updates, reporting, and follow-up items
- Assist Superintendents with daily field tracking, manpower logs, deliveries, and subcontractor activity
- Maintain accurate project files, logs, meeting notes, and compliance documentation
- Coordinate with subcontractors, vendors, consultants, field leaders, and office teams
- Track insurance, permits, OSHA documentation, and other required project records
- Attend project meetings, capture clear minutes, and help keep action items moving
Must-Haves as the Construction Project Administrator:
- 3 years of construction administration, project coordination, or project support experience
- Experience working in an onsite construction environment
- Strong Microsoft Office skills, including Excel, Word, and Outlook
- Excellent organization, follow-through, and attention to detail
- Clear written and verbal communication skills
- Ability to balance multiple priorities in a fast-paced project setting
- Stable work history and interest in a long-term role
Nice-to-Haves as the Construction Project Administrator:
- Multifamily residential construction experience
- Ground-up or large-scale residential project experience
- Procore or similar construction management software experience
- Experience coordinating directly with PMs, Superintendents, subcontractors, and vendors
