About the Company:
We are a rapidly growing construction company specializing in multiple carpentry scopes and General Contracting. Our projects span throughout California. The field crew is comprised of roughly 20-40 people depending on work load. Many of the projects require certified payroll reporting, as well as reporting to applicable Union Trust Funds.
About the Role:
We are seeking a highly organized and detail-oriented Office Manager / Bookkeeper to oversee daily administrative operations while maintaining accurate and compliant financial records. This position is ideal for someone who can confidently manage both office coordination and specialized bookkeeping tasks in a fast-paced environment.
Key Responsibilities:
Office Management Duties:
- Oversee daily office operations to ensure efficiency and organization
- Manage office supplies, vendor relationships, and office equipment
- Coordinate schedules, meetings, and internal communications
- Maintain organized filing systems (digital and physical)
- Assist with HR-related administrative tasks and employee documentation
Bookkeeping Duties:
- Maintain accurate financial records, including accounts payable and receivable
- Process invoices, progress billings, and client payments
- Manage insurance documentation, tracking, and compliance requirements
- Handle certified payroll reporting and ensure compliance with applicable regulations
- Reconcile bank and credit card statements
- Assist with payroll processing and coordination with external accountants
- Prepare financial reports and summaries for management
Qualifications:
- Proven experience in office management and bookkeeping
- Proficiency in certified payroll processing and reporting
- Experience with billing (including progress or contract billing)
- Familiarity with insurance documentation, tracking, and compliance requirements
- Strong working knowledge of accounting software (e.g., QuickBooks or similar)
- Excellent organizational, multitasking, and time-management skills
- High attention to detail and accuracy
- Ability to manage confidential information with discretion
- Strong communication and problem-solving skills
Preferred Qualifications:
- Experience in construction, contracting, or a related industry
- Knowledge of prevailing wage requirements and compliance standards
- Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field
