Duties
- Manage day-to-day office operations, including front desk responsibilities, multi-line phone systems, and calendar management
- Oversee bookkeeping tasks using QuickBooks including invoicing, expense tracking, and bank reconciliations
- Handle vendor management by coordinating orders, contracts, and service providers to ensure timely delivery and quality standards
- Supervise administrative staff and provide training & development opportunities to enhance team performance
- Support human resources functions such as onboarding new employees, maintaining personnel files, and assisting with payroll processing
- Organize events and meetings through detailed planning, scheduling, and logistical support
- Maintain filing systems, perform clerical duties, and ensure all office supplies are stocked and organized
- Ensure excellent communication with clients, vendors, and team members through professional phone etiquette and clear correspondence
Qualifications
- Proven experience in office management or administrative roles with strong organizational skills
- Demonstrated bookkeeping experience using QuickBooks
- Supervising experience with the ability to lead teams effectively
- Excellent communication skills—both verbal and written—with a professional phone etiquette
- Strong organizational skills with attention to detail in filing, calendar management, and multi-tasking capabilities
- Experience in medical office management or related fields is a plus but not required
- Ability to adapt quickly in a fast-paced environment while maintaining a positive attitude
- Must know about commercial/construction
Pay: $20.00 - $25.00 per hour
