We are seeking a polished, energetic, and highly professional Front Desk Coordinator to serve as the face of TRTMD Health Clinic. In this role, you will be the first point of contact for our patients and play a critical part in delivering a seamless, concierge-level experience from start to finish.

Key Responsibilities
Patient Experience & Front Desk Operations
- Greet all patients and guests with professionalism and warmth, ensuring a welcoming and elevated in-clinic experience
- Verify appointments, confirm patient information, and guide patients through check-in and check-out processes
- Maintain a clean, organized, and professional front desk and reception area at all times
Scheduling & Patient Coordination
- Schedule new patient consultations, follow-ups, lab appointments, and education visits accurately and efficiently
- Coordinate Quest Diagnostics appointments during scheduling calls to support timely lab completion
- Ensure all patients starting new therapies are scheduled for required education appointments prior to treatment
Phone & Communication Management
- Manage a multi-line phone system, answering all incoming calls promptly and professionally
- Provide accurate information, route calls appropriately, and support providers during live scheduling calls
- Follow proper phone etiquette, including handling multiple callers and returning calls in a timely manner
Patient Chart Review & Administrative Support
- Review patient charts prior to appointments to ensure compliance with follow-ups, labs, payments, and treatment plans
- Perform accurate data entry and maintain up-to-date patient records within our EHR system
- Assist with documentation, scanning, and maintaining organized digital and physical records
Medication Refill Coordination
- Monitor and manage refill requests via internal systems throughout the day
- Verify patient eligibility for refills, including appointment status, payment status, and last fill date
- Escalate refill requests involving changes, early requests, or clinical concerns to nursing or providers
- Communicate updates to patients through the appropriate channels in a timely manner
Operational & Team Support
- Support daily clinic operations, including supply management and maintaining office organization
- Keep internal tracking tools and communication channels updated (e.g., lead trackers, team communication platforms)
- Collaborate closely with providers, nurses, and leadership to ensure smooth patient flow and high-quality service
Customer Service Excellence
- Deliver top-tier customer service in every interaction, both in person and virtually
- Address patient questions and concerns with professionalism, urgency, and empathy
- Uphold TRTMD Health Clinic standards for communication, presentation, and patient care
Qualifications
- Previous experience in a front desk, medical reception, or customer-facing role required
- Strong customer service skills with a polished and professional demeanor
- Proficiency in Microsoft Office (Word, Excel, Outlook, Teams) and general computer systems
- Experience with EHR systems (Cerbo preferred) is a plus
- Excellent organizational skills and attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Strong communication skills, both written and verbal
- Bilingual (Spanish preferred) to support our diverse patient population
- Experience in a medical, wellness, or concierge healthcare setting is highly preferred
