The Bookkeeper/Tax Administrator plays a critical role in supporting the efficient and accurate processing of tax returns and maintaining high-quality bookkeeping records for clients. This position requires a highly organized and detail-oriented individual with strong communication and interpersonal skills. The role includes managing client files, performing bookkeeping tasks, communicating with clients, processing tax returns, and providing general office support.
Key Responsibilities
Bookkeeping Support:
- Record and categorize financial transactions in bookkeeping software (e.g., QuickBooks Online/Desktop).
- Reconcile bank, credit card, and other financial accounts on a regular basis.
- Assist in maintaining accurate general ledgers and supporting financial schedules.
- Work with clients to obtain missing information and ensure books are up to date prior to tax preparation.
File Organization & Maintenance:
- Accurately scan, index, and organize electronic client files in accordance with established company protocols.
- Maintain physical client files in a secure and organized manner.
- Ensure all documents (electronic and physical) are properly labeled and stored for easy retrieval and audit trail compliance.
- Implement and maintain a robust document management system for efficient access to client information.
Data Entry & Verification:
- Accurately enter client data into tax preparation software and bookkeeping systems.
- Conduct regular data quality checks to ensure accuracy and completeness of information.
Client Agreements:
- Prepare and distribute client engagement letters and relevant agreements.
- Track client signatures and follow up to ensure timely completion.
- Respond to client inquiries regarding agreements in a professional and timely manner.
Tax Return Delivery:
- Coordinate delivery of completed tax returns via mail, email, or in-person pickup.
- Ensure secure and timely delivery of sensitive client information.
Client Communication:
- Respond to client inquiries regarding tax return status or general bookkeeping questions within scope.
- Direct complex tax or accounting inquiries to appropriate professionals.
- Maintain positive, professional, and proactive client relationships.
Tax Return Filing:
- Transmit tax returns electronically to the IRS and state agencies.
- Monitor return status and address filing issues promptly.
- Ensure all returns are filed accurately and within deadlines.
Post-Filing Support:
- Assist in gathering documentation for tax notices or IRS/state correspondence.
- Provide basic support to tax professionals resolving client notices.
General Office Duties:
- Answer and direct phone calls professionally.
- Schedule and coordinate client appointments and meetings.
- Manage incoming and outgoing mail.
- Assist with office organization, supplies, and maintaining a clean workspace.
Administrative Support:
- Provide general administrative support such as data entry, report generation, and special projects as needed.
Qualifications
- High School Diploma or equivalent required; Associate’s degree in Accounting, Business Administration, or related field preferred.
- 2-4 years of bookkeeping experience strongly preferred, including experience with QuickBooks Online or similar accounting software.
- Prior experience in administrative or office support roles is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
Pay Range: $65k-$80k/year
