General Job Summary
The Fleet Operations Administrative Assistant supports the Fleet Operations Department with clerical, administrative, and data entry functions related to fleet inventory and vehicle lifecycle management. This position assists with tracking vehicle acquisitions, assignments, maintenance coordination, and disposition activities. The ideal candidate thrives in a high-volume environment, enjoys staying busy, and is comfortable handling detailed data entry and inventory-related tasks.
This role is temporary and part-time and is best suited for someone who can commit to the full duration of the assignment.
Principal Duties and Responsibilities
- Assist with tracking fleet inventory, vehicle assignments, and status updates.
- Perform high-volume data entry with accuracy and efficiency.
- Maintain and update internal fleet records, spreadsheets, and tracking systems.
- Support vehicle acquisition documentation and ensure files are complete.
- Assist with coordination of vehicle maintenance scheduling and documentation tracking.
- Help manage records related to vehicle resale/disposition through dealerships and auctions.
- Communicate with internal teams to gather missing information and ensure records are current.
- Provide general administrative support including filing, scanning, and document organization.
- Support department projects and perform additional duties as assigned.
Qualifications
Education
- High school diploma or GED required
- Additional coursework in business, administration, or logistics preferred
Experience
- 1–2 years of administrative, clerical, or data entry experience preferred
- Prior experience in inventory management, fleet support, or logistics is a plus
- Strong computer skills with ability to learn internal systems quickly
- Proficiency with Microsoft Office and/or Google Suite preferred
