What are the responsibilities and job description for the Database Manager position at Trinity Christian Academy?
TCA is looking for a Database Manager who views their work as faithful stewardship, and is committed to integrity, confidentiality, and excellence in service to our Christ-centered mission. As the Database Manager you will support the mission and ministry of TCA by maintaining accurate, secure, and integrated data systems across the school. You will ensures that all student, parent, faculty, and alumni data are properly managed within the school’s databases—primarily Blackbaud—and that integrations between systems operate seamlessly. You will work closely with Admissions, Business Office, Foundation, Technology, and Academic teams to provide reliable data, reports, and training to support informed decision-making and efficient school operations. This position is for the 2026-27 school year.
General Responsibilities
Data Management & Analytics
- Manage all data imports, exports, and integrations across systems (Blackbaud Education Management, Raisers Edge, Financial Edge, etc.)
- Maintain data accuracy, consistency, and compliance with institutional policies
- Build and distribute custom reports, lists, and dashboards for leadership and departments
- Oversee access permissions and security groups for data systems
User Account Management
- Create, modify, and terminate user accounts for faculty, staff, students, and parents
- Assign appropriate roles and permissions based on job function
- Monitor and resolve duplicate records and access conflicts
Forms & Profile Management
- Manage digital forms such as Learning Profiles, Grandparent and Parent Information forms
- Oversee contact card data, directory updates, and relationship linking
Integration with Third-Party Systems
- Manage and troubleshoot integrations with external platforms (e.g., Magnus Health, Connect5, FinalSite, Camp Brain)
- Coordinate data flow between Blackbaud and third-party tools to ensure data consistency and accuracy
Support for Key Departments
- Admissions: Troubleshoot inquiry, application, and event processes; assist with annual rollover of checklists, forms, and reports
- Business Office: Support re-enrollment and contract processes, manage household legal documentation, and assist with financial data integrity
- Foundation: Support alumni record integration with Raiser’s Edge
- Registrar: Provide backup support for grading setup, course offerings, and Learning Profile configuration
Training & Documentation
- Provide training and ongoing support to staff on database best practices, reporting, and Blackbaud features
- Manage access to BlackbaudU learning modules and work with Tech Integration Specialists to train teachers on grading and gradebook tools
- Maintain documentation of data management policies, procedures, and workflows
Data Governance
- Enforce policies and procedures for data entry, security, and management
- Ensure compliance with FERPA and other applicable data privacy standards
Qualifications
- Agree with and support TCA's Doctrinal, Biblical and Mission Statements and Christian values

Education and Experience
- Bachelor’s degree in Information Systems, Data Management, Education Technology, or related field required
- 3 years of experience in database administration, preferably in an educational or nonprofit environment
- Experience with Blackbaud Education Management solutions strongly preferred
Skills and Competencies
- Strong attention to detail and data integrity
- Expertise in SQL for data manipulation and querying is a must
- Proficiency with data imports/exports, report building, and role-based access management
- Familiarity with APIs and data integration across multiple software platforms
- Proficiency in Excel for data manipulation and analysis as well as Microsoft Office Suite
- Excellent communication, time-management, problem-solving, and organizational skills
- Ability to work collaboratively across departments
Physical, Mental and Environmental Requirements
- Normal physical demands of working at a computer (including, but not limited to extended periods of sitting. standing and screen use)
- Manage hardware components with occasional lifting up to 20 pounds
- Able to see and hear in the normal range with or without correction
- Must be able to give, receive and analyze information, prepare written materials and input information into a computer
- Must be able to effectively communicate with colleagues, and parents, answering questions in a professional and friendly manner
