We are looking for an Administrative Assistant to the Executive Director of Athletics. This position plays a vital role in supporting the mission and daily operations of our Athletic Department. In this role, you will help ensure the smooth and professional execution of athletic programs while partnering with coaches and staff to create an environment where sports and competition are used to teach transformational, life-giving biblical truths. TCA’s Athletic Department utilizes sports and competition to teach transformational, life-giving biblical truths to each student-athlete. By using your gifts and talents in administration, communication, organization and coordination, you will be an integral member of the Athletic Department and contribute meaningfully to the development and success of our student-athletes.
General & Administrative Responsibilities
- Provide direct administrative support to the Executive Director of Athletics
- Ensure TAPPS (state association) compliance for all teams, student-athletes and coaches
- Manage calendars, meetings, departmental communications, athletic records, rosters and documentation as requested
- Coordinate schedules for games, practices, facilities and events, including securing officials
- Coordinate tournament and playoff arrangements; schedule transportation (vans, buses, etc.)
- Assist in planning and executing athletic events (including volunteer coordination), tournaments and banquets; coordinate football season tickets
- Prepare Weekly Events Schedule and attend weekly Event Planning Council meeting
- Manage department finances - assist with equipment ordering, budget tracking, purchase orders, expense reports, prepare money boxes for home games; post-game accounting, make deposits
- Maintain inventory records and supply management
- Schedule and coordinate workers/administrators for home games
- Schedule photographer for team photos
- Coordinate awards, letter jackets, patches, state rings
- Maintain team pages (schedule, roster, photos, announcements, game locations, directions, etc.)
- Prepare and maintain printed schedules
- Submit eWeekly information, Trinity Today and yearbook team summaries
- Assist with parent groups (posters, team dinners, end of season parties, etc.)
- Demonstrate the fruits of the spirit (Gal. 5:22-23) in daily work, and interactions with colleagues and others
Required Education, Experience and Qualifications
- Bachelor's degree preferred (or equivalent experience)
- 3 years of high-level administrative support experience (non-profit settings preferred)
- Strong organizational, time-management, written and verbal communication skills
- High level of discretion, confidentiality and professionalism
- Proactive problem-solver with high attention to detail and follow-through
- Able to effectively communicate with colleagues, students and parents, answering questions in a professional and friendly manner
- Ability to manage multiple projects and deadlines simultaneously and effectively
- Proficiency in Microsoft Office and MAC
- Have a willing heart for service (Ephesians 6:7)

Physical, Mental and Environmental Requirements
- Normal physical demands of working in an athletic environment (including, but not limited to standing, reaching, stooping, squatting down, kneeling, and occasional lifting up to 25 pounds)
- Able to see and hear in a normal range with or without correction
- Evening and Saturday hours seasonally required
- Maintain emotional control under stress
