What are the responsibilities and job description for the Operations Assistant position at TribaLights?
Role Summary
The Operations Assistant is the in-person hands of the operations department: producing
program materials, keeping facilities and fleet logistics moving, and serving as the on-site
coordinator who welcomes and orients every new hire on their first day.
Core Responsibilities
Program Materials Production
- Print, assemble, and distribute weekly workbooks; manage print supplies and inventory; apply content updates provided by the Director.
New-Hire Orientation Coordination (in person)
- Serve as the day-one, in-person point of contact for every new hire:
workspace/keys/badge, IT accounts and equipment (with the Director), orientation
schedule, facility tour, and introductions.
- Own the master onboarding checklist per hire; confirm every step is completed within 45
days and report completion status weekly.
- Coordinate the role-specific portions delivered by others
Facilities & Fleet Support
- Schedule vehicle maintenance, track mileage/registration/insurance dates, and maintain
the fleet log.
- Coordinate repairs and vendor visits; maintain supply inventory for offices and program
sites.
Administrative Support
- Childcare/daycare coordination logistics for residents with children.
- Maintaining stock and ordering office and client supplies
- Ticketing follow-up for operations requests; documentation of operations SOPs as
directed (priority: getting what is in the Director’s head onto paper).
Qualifications
- Reliable, organized, comfortable in a recovery-community environment with firm
professional boundaries.
- Valid driver’s license with clean record preferred; solid computer proficiency required;
CPR/First Aid or willingness to obtain.
Pay: $20.00 - $22.00 per hour
