What are the responsibilities and job description for the Accounts Receivable Coordinator position at Tri State Gate?
About Us
Tri State Gate is a custom gate, fence, and automation company serving the tri-state area. We're a growing, family-run business with a small, tight-knit office team where everyone plays an important role.
As our business continues to grow, we're looking for a detail-oriented and proactive Accounts Receivable Coordinator to help manage customer billing, collections, and outstanding payments. This is a new position that will play an important role in maintaining healthy cash flow and supporting the continued growth of our business.
The Role
The Accounts Receivable Coordinator will be responsible for managing the customer billing and collections process, from issuing accurate invoices to following up on outstanding balances and resolving payment issues.
We're looking for someone who is organized, persistent, and comfortable communicating directly with customers about money. The ideal candidate takes ownership of their accounts, follows up consistently, and works proactively to prevent overdue balances from becoming larger problems.
You'll work closely with our office and operations teams to ensure completed jobs are invoiced accurately, customer accounts remain up to date, and payments are collected in a timely manner.
What You'll Do
- Prepare and issue accurate customer invoices in a timely manner.
- Monitor accounts receivable and maintain an accurate record of outstanding customer balances.
- Own the collections process by proactively contacting customers regarding unpaid and past-due invoices.
- Track overdue accounts, promised payment dates, and collection follow-ups to ensure consistent communication.
- Monitor AR aging reports and identify accounts that require additional attention.
- Communicate professionally and confidently with customers regarding payment expectations, overdue balances, and billing questions.
- Investigate and resolve billing discrepancies, invoice disputes, and payment issues in coordination with the appropriate internal teams.
- Record customer payments accurately and ensure account balances are updated promptly.
- Maintain organized customer records, payment histories, and documentation of collection activities.
- Coordinate with the office and operations teams to ensure completed jobs and approved work are invoiced correctly.
- Identify recurring billing issues and opportunities to improve the invoicing and collections process.
- Prepare accounts receivable reports and provide updates on outstanding balances and collection progress.
- Assist with month-end accounts receivable reconciliation and reporting.
What Success Looks Like
In your first 90 days: You've learned our billing and invoicing process, established a consistent routine for monitoring receivables, and taken ownership of following up on outstanding balances. Invoices are issued accurately and on time, customer records are organized, and collection activities are documented and followed through.
By six months: You've established a reliable collections process, improved visibility into overdue accounts, helped reduce past-due receivables, and become a trusted point of contact for customer billing and payment questions. You're identifying potential collection issues early and consistently following through to resolution.
