Under general supervision performs paraprofessional accounting duties including posting, updating, reconciling, spreadsheet development, and record keeping duties for the accounts payable function of the Fiscal Affairs department.Job Functions:
- Applies the principles of accounting theory and external and internal policies and procedures to audit invoices for compliance, completeness, and correctness, match with appropriate back-up documentation, and process prompt payment. Responsible for accurate invoice and expense data in entry administrative software system. Handles communication with vendors and College faculty and staff concerning any invoice issues. Ensures travel reimbursements comply with all applicable regulations.
- Opens, sorts, organizes, and distributes incoming mail for the accounts payable area. Analyzes accounts payable and financial accounting reports for rejections and resolves problems. Reports unusual activity to management. Maintains filing system and document imaging system for accounts payable documentation
- Prepares and enters journal entries and electronic payments into the administrative software system. Prepares monthly sales tax report. Reconciles accounts payable accounts. Tracks outstanding credit memos. Assists supervisor with year-end duties and audit requests and supporting documentation. Tracks all travel expenses and prepares travel reports for the State and other entities.
- Suggests improvements in processes to increase efficiency and effectiveness of accounts payable processes. Identifies root causes of accounts payable issues and identifies and makes recommendations for solutions.
- Manages work-study student(s) and coordinates their tasks in providing support to AP and all fiscal affairs functions. Other duties as assigned.
Minimum and Additional Requirements
- A high school diploma and experience in entry-level accounting or bookkeeping. A bachelor's degree may be substituted for required work experience.

Proficiency in using accounting software within an integrated enterprise resource planning system. Proficiency in Excel and Word. Must be able to apply the principles of accounting theory and have a thorough understanding of the accounting equation and accounting cycle. Excellent written and verbal communication skills. Strong interpersonal and customer service skills. Must be detail-oriented and accurate, and have ability to multi-task. Strong organizational skills with ability to track and follow up on pending issues and meet deadlines. Ability to maintain confidentiality. Works effectively as a team contributor on all duties and assignments. Ability to work effectively in a team environment across multiple levels of the College.
- Responsible for own work. Words under general supervision of Accounting Manager I. Manages student workers.
