TRESSS® Aquatectural Designs is seeking a highly organized, professional, and proactive Client Service & Studio Manager to join our team.
This position serves as the primary administrative support to the President and the operational coordination hub of the company. The role is responsible for supporting client communications, purchasing, bookkeeping support, scheduling, inventory coordination, and day-to-day office operations while helping maintain visibility, organization, and accountability across the company.
Responsibilities
• Build and maintain strong professional relationships with clients, vendors, contractors, architects, builders, and business partners
• Serve as a responsive, professional, and trusted point of contact for clients and external stakeholders
• Help ensure a consistent, high-quality client experience that reflects the TRESSS® brand
• Support a seamless client experience through clear communication, follow-through, and attention to detail
• Proactively identify and help resolve operational, client service, and coordination challenges
• Executive support to the President
• Purchasing, vendor management, and material procurement
• Review and coordinate Bills of Materials (BOMs)
• Inventory coordination to ensure materials are available for production and installations
• QuickBooks bookkeeping, invoicing, payment tracking, and expense reconciliation
• Accounts receivable and accounts payable support
• Employee scheduling, onboarding, and administrative support
• Coordinate production schedules, service visits, deliveries, and installations
• Weekly client updates and project coordination
• Maintain contractor, vendor, insurance, employee, and compliance documentation
• Operational reporting, follow-up, and office administration
• Help leadership maintain visibility into project status, material needs, operational priorities, and outstanding action items
Qualifications
• Professional-level English communication skills (written and spoken)
• Excellent phone, email, and customer service skills
• Strong client service and relationship management skills
• Excellent communication and interpersonal skills
• Ability to navigate complex situations with professionalism, discretion, and sound judgment
• Strong problem-solving skills and a proactive approach to finding solutions
• Ability to maintain composure, professionalism, and attention to detail in a fast-paced environment
• Ability to build trust and credibility with clients, vendors, and business partners
• QuickBooks proficiency required
• Experience with invoicing, accounts receivable, accounts payable, and reconciliations
• Experience with purchasing, vendor management, and inventory coordination
• Ability to read and manage Bills of Materials (BOMs)
• Strong organizational, communication, and follow-up skills
• Ability to manage multiple priorities simultaneously
• Professionalism, discretion, and confidentiality
• Experience in construction, architecture, manufacturing, design, or related industries preferred
