TITLE: Transportaton Secretary
EMPLOYMENT TERMS: Twelve (12) Months
SALARY CLASSIFICATION: Classified Salary Non -Exempt
General Statement of Responsibilities: To carry out secretarial duties as specified by the Lead Transportation confidentially and responsibly. To demonstrate a caring and understanding relationship with parents and students; to have a positive working relationship with administration and staff, to assist in assuring the smooth and efficient operation of the office.
Duties and Responsibilities
- Greets visitors, answers and screens telephone calls and provides information as appropriate.
- Prepares purchase requisitions as needed.
- Handles incoming and outgoing mail.
- Maintain files of Transportation forms for travel request, per diem, requisitions, leaves, etc.
- Receives and posts transportation requests and prepares travel authorization and maintains travel records.
- Assist in the preparation of multiple departmental reports.
- Schedules appointments and maintain directors calendar and schedules staff meetings when necessary
- Prepares necessary paperwork for vehicle assignment throughout the district and inputs relevant data to the record file.
- Handles a variety of correspondence, reports and other materials; confidentiality of information.
- Assist staff as requested with secretarial and clerical services.
- Maintains office supplies and ensure s that office equipment functions properly.
- Records and file purchase orders, invoices, and requisitions for outside vendors.
- Typing, filing, phone, and work with vendors as necessary.
- Generate reports for fuel consumption, miles traveled, travel within the district, etc.
- Must relate and communicate effectively to bus drivers, and maintenance. Performs other related tasks as assigned.

Certification: Arizona Fingerprint Clearance Card
Skills Required: Typing at 50 wpm, computer, spreadsheet, and word processing; operation of office equipment, both written and verbal communication skills, must be bilingual Navajo/ English language.
Knowledge Required: Basic office procedures
Qualifications
- Knowledge of invoices procedures
- Warehouse experience helpful
- Good writing and voice communication skills
- Good math skills
- Typing/keyboarding skills necessary
- Arizona Driver License
Education: High School diploma or equivalent
Experience: One to three years of experiences. Business skills training and Computer Skills. Preferable in a school setting
Supervision: Must use own initiative and judgement
Responsibility: Responsible for confidential records and access to confidential records, maintaining a positive relationship with staff/community.
License: Drivers License
Physical Requirements: Must be able to operate office equipment and computer. Occasional stooping, bending and /or light lifting.
