The Client Services Representative serves as the primary connection between TradeNet distributors and internal production teams, ensuring every order is managed with accuracy, urgency, clear communication, and accountability. Success in this role means building customer confidence through dependable follow-through, proactive problem-solving, and a commitment to operational excellence.

Key Responsibilities

1. Client Communication & Ownership

  • Serve as the primary contact for distributor communication throughout the order lifecycle.
  • Handle inbound calls professionally and efficiently, including quotes, order updates, timelines, and issue resolution.
  • Take full ownership of customer requests and ensure follow-through to completion.
  • Communicate proactively regarding delays, concerns, or production changes to maintain customer confidence.
  • Document customer interactions clearly and escalate urgent issues quickly and appropriately.
  • Build trust through responsive communication, reliability, and solution-oriented support.

2. Email & Workflow Management

  • Maintain timely, professional, and accurate communication within shared inboxes.
  • Anticipate customer needs and provide complete information to promote efficient resolution on the first interaction.
  • Ensure internal teams remain aligned with accurate order details, updates, and customer expectations.
  • Prioritize workload effectively to support production timelines and service standards.
  • Support a transparent workflow environment by communicating clearly across departments.

3. Order Entry & Job Accuracy

  • Enter and manage orders in Distributor Central with a high degree of accuracy and attention to detail.
  • Review all job specifications carefully, including materials, sizing, quantities, finishes, artwork requirements, and deadlines.
  • Identify potential production or file issues early and coordinate resolutions proactively.
  • Partner closely with Graphics, Production, and Shipping teams to support on-time and accurate job completion.
  • Help maintain reliable manufacturing workflows by reducing avoidable errors and reworks.

Qualifications

· High school diploma or GED required

· Associate’s degree in Business, Communications, or related field preferred

· 1-3 years of customer service or account support experience preferred

· Manufacturing, printing, or production environment experience is a plus

· Experience with ERP or CRM software preferred

Physical Requirements

· Prolonged periods of sitting and computer work.

· Frequent use of phone and computer systems.

· Ability to move throughout the office and production areas as needed.

Work Environment

This role operates within a dynamic, production-driven manufacturing environment requiring strong prioritization, adaptability, and consistent collaboration with Graphics, Production, and Shipping teams. Success requires balancing speed, accuracy, communication, and customer expectations while supporting reliable manufacturing operations.

Pay: $18.00 - $23.00 per hour
